Job Title: HR Operations Support Officer

Reports To: HR Operations Manager

Dotted Line: HR Business Partner - Egypt

Purpose of the Job

The HR Operations Support Officer is responsible for executing day-to-day HR administrative and operational activities within Egypt, ensuring accurate data management, compliant employee lifecycle transactions, and high-quality service delivery.

The role acts as the operational backbone of country HR - bridging the business, HRBP, Finance, Legal, IT, vendors, and central HR Operations - while proactively improving accuracy, turnaround time, and service quality through disciplined processes and effective use of HR systems and technology.


Key Roles and Responsibilities

A. HR Administration & Data Management

• Manage employee records, contracts, and personnel files (hard & soft copies)

• Execute all employee lifecycle actions (hire, transfer, renewal, exit) in SuccessFactors, SAP, and D365

• Create employee IDs, personnel files, bank letters, and system profiles

• Maintain and update employee master data, reporting lines, grades, cost centres, and entities

• Conduct routine master data audits and correct discrepancies

B. Payroll, Social Insurance & Statutory Coordination

• Prepare and validate payroll inputs:

• Attendance, OT, delays, duties, commissions, deductions, allowances

• Collect and verify departmental payroll documentation and approvals

• Coordinate with Group Payroll, Finance, and Treasury to ensure timely salary payments

• Handle social insurance forms (S1, S2, S6), tax submissions, and monthly payments

• Track and prevent penalties through proactive follow-up

C. Recruitment & Onboarding Administration

• Coordinate recruitment administration for frontline to supervisory roles

• Prepare contracts and offers using approved templates and budgets

• Coordinate onboarding logistics:

• IT access, email, systems

• Medical & life insurance

• IDs, uniforms, transport, orientation

• Track probation confirmations and contract renewals

D. Contingent Workforce (CW) Administration

• Coordinate CW hiring, separations, attendance, OT, and payroll with vendors

• Validate CW headcount, cost allocation, and invoices

• Upload CW invoices and payment requests in D365

• Track CW numbers daily in manufacturing and logistics shifts

E. Employee Services, Facilities & Vendor Coordination

• Coordinate:

• Medical & life insurance additions/removals

• Transport buses and meal services

• Telecom lines (Vodafone, landlines)

• Printing, stationery, uniforms

• Manage HR-related vendors, quotations, POs, invoices, and payments

• Support events, meetings, Ramadan iftars, and employee engagement logistics

F. Compliance, Audit & Risk Control

• Maintain compliance trackers (visas, probation, contracts, renewals, leaves)

• Support internal and external audits

• Track penalties, investigations, and corrective actions

• Flag risks and anomalies proactively to HRBP

G. HR Systems, Reporting & Continuous Improvement

• Enter and validate HR transactions within SLA timelines

• Generate HR reports (HC, CW, payroll summaries, leave balances, KPIs)

• Support AI-enabled checks, automation, and templates to reduce manual errors

• Recommend process improvements and simplifications

• Master data accuracy ≥99.5%

• Payroll input accuracy ≥99%

• Zero payroll penalties

• HR workflow completion within SLA

• Audit findings closed on time

• Onboarding completed within 5 working days

• Employee service turnaround ≤3 working days

• Escalate ER, legal, payroll, and policy exceptions

• Recommend operational improvements
