Human Resources Assistant

Position Overview:
The Human Resources Assistant provides administrative support to the HR department as well as the entire Wayne Pipe and Supply team, assists with daily operations including employee records management, recruitment, onboarding, payroll support, and general office tasks. This entry-level position is designed to support departmental efficiency while gaining foundational experience in Human Resources.

Duties & Responsibilities:

  • Maintain accurate and confidential employee records, ensuring updates are made within 48 hours of receiving documentation.
  • Assist with the recruitment process by posting jobs within 24 hours of request, screening applications within 2 business days, coordinating interviews, and corresponding with candidates.
  • Support onboarding by preparing new hire packets, collecting required documentation, and assisting with orientation to ensure 100% completion of required forms prior to their starting date.
  • Provide administrative support for payroll preparation by collecting and verifying timekeeping data.
  • Respond to employee questions and direct them to appropriate resources within one business day.
  • Provide reception desk coverage as needed, greeting visitors professionally and answering incoming calls.
  • Support HR programs related to training, safety, employee engagement, and wellness initiatives by meeting established deadlines.
  • Develop and design a monthly HR newsletter to creatively share company news, employee spotlights, and important updates that foster engagement and a positive workplace culture.
  • Perform other HR and administrative duties as assigned.

Required Skills & Abilities:

  • Positive interpersonal skills with the ability to communicate clearly, effectively and professionally.
  • Ability to manage time effectively and meet established deadlines.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); ability to learn HR software systems.
  • Knowledge of Paycor HRIS system a plus.
  • Willingness to learn and grow within the HR profession.
  • Experience with office equipment (i.e., copier, mail machine, fax machine).

Education & Experience:

  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Previous office or administrative experience preferred but not required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to access and navigate each department within the organization’s facilities.
