1. Administrative Support & Record Keeping

  • Maintain HRIS: Accurately enter and update employee data in the Human Resources Information System (HRIS) for all staff, including agents, brokers, and corporate employees.
  • File Management: Maintain both physical and electronic employee files (e.g., contracts, performance reviews, benefits enrollment, I-9/visa documentation) with strict confidentiality.
  • Reporting: Prepare basic HR reports (e.g., headcount, turnover rates, time-off usage) for HR Management and senior leadership.
  • Correspondence: Draft and distribute standard HR-related communications, such as internal announcements, policy updates, and verification of employment letters.

2. Recruitment and Onboarding

  • Recruitment Support: Post job advertisements on various platforms (job boards, social media, real estate-specific sites).
  • Candidate Management: Screen résumés, schedule interviews, coordinate background checks, and send interview confirmations.
  • New Hire Process: Prepare new hire packets, coordinate new employee orientation sessions, and ensure a smooth onboarding experience (e.g., setting up workstations, system access, and email accounts).

3. Employee Relations and Benefits Administration

  • First Point of Contact: Respond to employee and agent inquiries regarding HR policies, benefits, payroll, and PTO/leave of absence processes.
  • Benefits: Assist with the administration of employee benefits, including enrollment, changes, and open enrollment periods.
  • Payroll Support: Review and reconcile timekeeping records and assist in preparing documentation for payroll processing, ensuring accuracy for both salaried and commission-based staff.

4. Compliance and Policy

  • Policy Support: Assist in communicating and ensuring adherence to company HR policies and procedures.
  • Legal Compliance: Maintain awareness of basic state and federal employment laws, and assist in documentation for compliance (e.g., labor law posters, required training records).
  • Offboarding: Coordinate employee exit processes, including conducting basic exit interviews, collecting company property, and processing final paperwork.
