Job Description: Inventory Officer / Store Executive

Job Title: Inventory Officer / Store Executive
Department: Warehouse
Reports To: Warehouse Manager

Job Summary:
We are seeking a meticulous and highly organized Inventory Officer to manage and oversee our daily inventory operations. The ideal candidate will be responsible for the entire inventory cycle, including the accurate receipt, storage, dispatch, and real-time tracking of all materials. Proficiency in Tally Prime and advanced MS Excel is essential for this role to maintain impeccable records, generate reports, and ensure inventory accuracy.

Key Responsibilities:

1. Material Receipt (Inward):

  • Receive all incoming materials (raw materials, components, finished goods) from suppliers and production.
  • Thoroughly inspect received goods for quantity, damage, and conformity to purchase order specifications.
  • Prepare and process Goods Receipt Note (GRN) in the Tally Prime system for all accepted materials.
  • Generate new item codes in Tally Prime for new materials as per company's coding system.
  • Liaise with the purchase and quality departments to resolve any discrepancies or quality issues with incoming goods.

2. Material Dispatch (Outward):

  • Process all material issues for production, sales orders, and dispatches.
  • Prepare shipping documents, challans, and invoices as required.
  • Ensure the correct items and quantities are picked, packed, and dispatched accurately and on time.
  • Update inventory records in Tally Prime immediately upon dispatch.

3. Inventory Management & Control:

  • Maintain real-time, accurate inventory records in Tally Prime (item-code wise).
  • Perform daily/weekly data entries for all inventory transactions (receipts, issues, transfers).
  • Monitor and maintain optimal inventory levels to prevent stock-outs (shortages) and minimize overstocking.
  • Conduct regular cycle counting and periodic physical inventory verification (stock audits).
  • Reconcile physical stock counts with system records in Tally and investigate and resolve any variances.

4. Reporting & Documentation:

  • Generate daily, weekly, and monthly inventory status reports (e.g., stock summary, age-wise analysis, slow-moving/non-moving items report).
  • Maintain accurate and organized records of all GRNs, material issue slips, and other inventory-related documents.
  • Utilize advanced MS Excel (V-Lookups, H-Lookups, Pivot Tables, Formulas) to analyze data, create dashboards, and support management decisions.
  • Assist in preparing reports for management review on inventory turnover, accuracy, and valuation.

5. System & Process Improvement:

  • Ensure the integrity and accuracy of all data within the Tally Prime inventory module.
  • Suggest process improvements to enhance inventory accuracy and operational efficiency.
  • Ensure the store area is clean, organized, and secure at all times.

Required Qualifications & Skills:

  • Bachelor’s degree in Commerce, Business Administration, Supply Chain Management, or a related field.
  • Proven experience of 2-4 years in a store, inventory, or warehouse management role.
  • Mandatory Proficiency: Expert-level knowledge of Tally Prime (especially inventory and stock management modules).
  • Mandatory Proficiency: Advanced skills in MS Office, particularly MS Excel (must be able to demonstrate use of Pivot Tables, VLOOKUP, and other advanced functions).
  • Strong understanding of inventory management principles (e.g., FIFO, ABC Analysis).
  • Keen attention to detail and a high level of numerical accuracy.
  • Excellent organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Good communication skills.

Preferred Qualifications:

  • Experience in a manufacturing or related industrial environment.
  • Knowledge of other ERP software is a plus.
