Job Purpose

Ensure the smooth and compliant operation of a clinical-research study, with overall responsibility for accurate data collection and integrity, high-quality participant experience, and effective management of clinic staff and daily operations.

Key Roles And Responsibilities

Clinic Operations

  • Responsible for the full data collection process for a clinical-research study, carried out through in-clinic participant visits and structured follow-up calls.
  • Ensure high-quality, reliable data by maintaining operational accuracy, consistency, and integrity across all clinic activities.
  • Maintain full compliance with quality requirements and follow change-control procedures to ensure consistency, traceability, and regulatory alignment.
  • Oversee and monitor the implementation and performance of Protocol Items (PIs) & procedures based on the study SOPs.
  • Day-to-day management of the clinic site operations, focusing on the Clinical Testing Center (CTC) management.
  • Management of participant visit scheduling and follow-up call scheduling in alignment with clinic capacity and response-time targets.
  • Plan and ensure readiness for the clinic's daily operations through routine work planning and performance monitoring.
  • Oversee clinic equipment and device management - ensure proper functioning and configuration, coordinate maintenance as needed, and maintain an up-to-date inventory.

Participant Experience

  • Ensure a positive and seamless participant experience that drives satisfaction and long-term engagement.
  • Hold overall responsibility for Participant Support.

Team Management

  • Manage the study clinic team - onboarding and training of new team members along with keeping existing team members up to date with the study SOPs, all under the guidance and in collaboration with the research team.
  • Assign work schedules and delegate tasks as needed.
  • Lead and manage all operations and support team activities.
  • Supervise the clinical care team, including registered nurses, imaging technicians, sonographers, phlebotomists and other healthcare professionals.
  • Ensure accurate and timely documentation of participant interactions, care provided, and procedures performed in the data systems.
  • Maintain strict patient/participant confidentiality and comply with all applicable data protection requirements.
  • Support internal and external audits, quality checks, and required reporting.
  • Support direct patient care activities (as required) to help maintain smooth operations.

Stakeholder Collaboration

  • Work closely with the Lab Lead, the IHL Clinical Operations Team, and external partners/study team.

Qualifications And Experience

  • Fluent in English (Arabic is a plus).
  • Minimum 3 years of relevant experience in clinical operations, preferably in a research or healthcare setting.
  • Experience working in a clinical or healthcare environment.
  • Strong team management skills including onboarding, training, task assignment, and performance monitoring.
  • High interpersonal, coordination, and communication skills to work effectively with lab leads and cross-functional teams.
  • Ability to lead and manage all clinic operations and support activities efficiently.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Detail-oriented, organized, and proactive in anticipating operational needs.

Work Environment

Clinic-based environment with regular patient/participant interaction and interdisciplinary team collaboration.

Physical Requirements

Ability to stand for extended periods and perform standard clinical duties.

Travel Requirements

Minimal; may include training or engagement events as required.
