Job Summary:
We are looking for a skilled Legal Assistant who can speak Arabic and English, with a minimum of 3 years of experience in a legal assistant role within a UAE-based law firm or legal department. The ideal candidate should have hands-on experience with the UAE Federal Court System, case registration and updates, preparing detailed monthly case reports, managing legal documentation, and providing daily case updates to clients. The candidate should also be experienced in using legal case management software to ensure all case information, deadlines, and updates are accurately maintained.
Key Responsibilities:
1. Federal Court System Management:
- Perform case registration, updates, and monitor case statuses through the UAE Federal Court System.
- Ensure timely and accurate submission of all required documents for legal cases.
- Track court procedures, hearings, judgments, and case developments.
- Follow up on court updates and ensure all relevant information is properly recorded.
2. Client Case Updates & Communication:
- Provide daily case updates to clients through professional communication channels, including email, phone calls, or other approved platforms.
- Maintain clear and timely communication with clients regarding case progress, court updates, hearings, deadlines, and important developments.
- Respond to client inquiries professionally and coordinate with lawyers to ensure accurate information is provided.
- Maintain proper records of all client communications and updates.
3. Case Management Software & Internal Updates:
- Ensure all case details, updates, deadlines, hearing dates, judgments, and relevant documents are accurately entered into the firm's case management software on a daily basis.
- Monitor and maintain the accuracy of case records within the legal software system.
- Coordinate with lawyers and legal team members to collect case updates and ensure timely data entry.
- Regularly review case files to ensure information is complete, updated, and properly organized.
4. Reporting:
- Prepare and deliver monthly case reports summarizing the status and progress of all active and closed cases.
- Maintain a well-organized database and records of all legal matters for easy access and reporting.
- Prepare internal reports highlighting case updates, pending actions, upcoming deadlines, and important developments.
5. Legal Documentation:
- Draft and review legal documents such as contracts, agreements, legal notices, and correspondence in both Arabic and English.
- Translate legal documents and correspondence as required.
- Ensure all documentation complies with UAE laws and regulations.
- Maintain proper filing and organization of legal documents.
6. Team Coordination:
- Work closely with the legal team to provide administrative and operational support.
- Act as the liaison between the legal department, courts, external counsel, clients, and other stakeholders.
- Organize and manage schedules for meetings, hearings, and appointments.
- Follow up with lawyers regarding case progress, required actions, and pending tasks.
- Assist lawyers in preparing case summaries, legal documents, and supporting materials.
Qualifications and Requirements:
- Bachelor’s degree in Law, Legal Studies, or a related field is preferred.
- Minimum of 3 years of experience as a Legal Assistant within a UAE-based law firm or legal department.
- Fluent in Arabic and English (written and verbal).
- Hands-on experience with the UAE Federal Court System and court procedures.
- Experience in preparing case reports and managing legal documentation.
- Experience in using legal case management software and ensuring daily case updates are recorded accurately.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities.
- Excellent interpersonal and communication skills.
- High attention to detail and ability to meet strict deadlines.
- Ability to communicate professionally with clients, lawyers, courts, and external parties.
- Familiarity with UAE legal and regulatory frameworks, including court procedures and case management.
Pay: AED2,470.18 - AED9,437.23 per month
