Mailroom and Reception Support Specialist

Summary
The Mailroom & Reception Support Specialist provides professional front‑desk coverage and dependable mailroom operations in a fast‑paced corporate environment supporting engineering and construction projects. This role ensures a positive visitor experience, accurate handling of time‑sensitive documents and shipments, and consistent administrative support for internal teams.
Key Responsibilities:
Reception & Front Desk:
  • Serve as the first point of contact for employees, visitors, and vendors.
  • Manage visitor check‑in, badges, NDAs, and safety protocols.
  • Answer and route calls and general inquiries.
  • Coordinate conference rooms, meetings, and guest logistics.
  • Maintain a professional, organized lobby and reception area.
Mailroom & Shipping:
  • Receive, sort, log, and distribute incoming mail and packages.
  • Prepare outgoing domestic and international shipments (USPS, UPS, FedEx, courier).
  • Track time‑sensitive deliveries such as bid documents, contracts, and plan sets.
  • Operate mailroom equipment (postage meters, scanners, copiers, labelers).
  • Support high‑volume print, copy, and scan requests with accuracy and version control.
Administrative & Office Support:
  • Perform document scanning, filing, and data entry in accordance with retention policies.
  • Maintain mailroom and office supply inventory.
  • Assist with safety postings, visitor PPE coordination, and emergency materials.
  • Support special projects, events, onboarding packets, and department needs.
  • Coordinate with Facilities, IT, Security, and external vendors as needed.

Qualifications:
  • High school diploma or equivalent required.
  • 1–3+ years of experience in mailroom, reception, administrative, or customer support roles.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
  • Strong organizational skills, attention to detail, and customer service mindset.
  • Ability to handle confidential and time‑sensitive materials.

Physical Requirements:
  • Ability to lift and move packages up to 40 lbs.
  • Frequent standing, walking, bending, and reaching.
