The Mailroom & Reception Support Specialist provides professional front‑desk coverage and dependable mailroom operations in a fast‑paced corporate environment supporting engineering and construction projects. This role ensures a positive visitor experience, accurate handling of time‑sensitive documents and shipments, and consistent administrative support for internal teams.
Key Responsibilities:
Reception & Front Desk:

Serve as the first point of contact for employees, visitors, and vendors.

Manage visitor check‑in, badges, NDAs, and safety protocols.

Answer and route calls and general inquiries.

Coordinate conference rooms, meetings, and guest logistics.

Maintain a professional, organized lobby and reception area.
Mailroom & Shipping:

Receive, sort, log, and distribute incoming mail and packages.
-
Prepare outgoing domestic and international shipments (USPS, UPS, FedEx, courier).
-
Track time‑sensitive deliveries such as bid documents, contracts, and plan sets.

Operate mailroom equipment (postage meters, scanners, copiers, labelers).

Support high‑volume print, copy, and scan requests with accuracy and version control.
Administrative & Office Support:

Perform document scanning, filing, and data entry in accordance with retention policies.

Maintain mailroom and office supply inventory.
-
Assist with safety postings, visitor PPE coordination, and emergency materials.

Support special projects, events, onboarding packets, and department needs.

Coordinate with Facilities, IT, Security, and external vendors as needed.
Qualifications:

High school diploma or equivalent required.

1–3+ years of experience in mailroom, reception, administrative, or customer support roles.

Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).

Strong organizational skills, attention to detail, and customer service mindset.

Ability to handle confidential and time‑sensitive materials.
Physical Requirements:
