The Maintenance Administrative Assistant will support the team by handling all administrative tasks related to property upkeep, maintenance scheduling, and vendor coordination. You’ll ensure all maintenance requests are logged, tracked, and resolved efficiently — keeping our tenants happy and our properties in top condition.

Key Responsibilities:

  • Provide administrative and clerical support to the maintenance and property management departments.
  • Record and track tenant maintenance requests and ensure timely resolution.
  • Coordinate with technicians, contractors, and suppliers for maintenance works.
  • Prepare and process job orders, quotations, purchase requests, and invoices.
  • Maintain detailed logs for preventive maintenance schedules, inspections, and repair records.
  • Follow up on work completion reports and ensure quality standards are met.
  • Monitor inventory of maintenance tools, materials, and spare parts.
  • Prepare daily, weekly, and monthly maintenance reports for management.
  • Ensure compliance with company policies, safety regulations, and maintenance protocols.
  • Assist in managing building maintenance budgets and supplier contracts.

Requirements:

  • Male candidate currently based in the UAE.
  • Minimum 2 years of experience in a similar role within real estate, property management, or facilities maintenance.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office (Excel, Word, Outlook); experience with property management or maintenance software is an advantage.
  • Strong communication and coordination skills in English (Arabic or Hindi is a plus).
  • Knowledge of maintenance operations, documentation, and vendor coordination.
  • Reliable, proactive, and able to work under minimal supervision.
