Position: Manager Administration & Facilities

Job Requirements:

  • Education: min Bachelor’s degree or above, major in Business Administrative Management, Secretarial Science or related fields is preferred.
  • Experience: 3 -5 yr relevant administrative work experience, familiar with office facilities and real estate work processes; experience in budget control and event support.
  • Other Requirement: Possess good communication and coordination skills, execution ability and attention to details, and be able to complete various administrative affairs efficiently; have basic budget management awareness and be good at sorting out various ledgers and reports.
  • Quality Requirement: Be serious and responsible, proactive in work, have a strong sense of responsibility and service awareness, be able to adapt to moderate work flexibility, and have good pressure resistance and team cooperation spirit.

Job Summary:

We are looking for a dynamic “Manager Admin & Facilities” reporting into Local HR Head,to be responsible for office facilities, Administration and Real Estate for office building. Expats facilitation and management.


Key Job Responsibilities:

1. Daily Maintenance: Responsible for the overall planning and implementation of daily administrative affairs, including but not limited to office environment maintenance, office supplies management, daily process connection, security and office support staff management, ensuring the smooth operations and timely response to the team's daily administrative needs.

2. Budget Control: Assist in the formulation, implementation and control of admin & facilities related budgets, track the use of budgets, verify admin expenses, ensure budget optimization, regularly sort out budget-related reports, and propose efficient way of cost saving.

3. Events & Activities Support: Cooperate in the preparation and execution of various team activities (meetings, training, team building, etc.), including pre-event material preparation, venue coordination, process coordination, on-site support and post-event review and sorting, to ensure the smooth progress of activities.

4. Cross-Departmental Coordination: Communicate with relevant stakeholders, to ensure timely support and resolution with timely feedback work progress and problems.

5. Real Estate & Office Facilities: Able to manage the office building rental agreements and other facilities, Expats facilities management their travel, security and residence.
