Job Title: Operations Manager – Veterinary Clinic (Dubai)
Position Type: Full Time – On Site
Department: Operations
Direct Supervisor: Chief Operating Officer (COO)

Job Summary

The Operations Manager will oversee and optimize the day-to-day and long-term operations of the Dubai veterinary clinic. This leadership role ensures seamless functioning of non-clinical operations, compliance with UAE healthcare and veterinary regulations, financial efficiency, staff performance, client satisfaction, and facility management. The ideal candidate will partner closely with veterinarians and clinical leadership to support delivery of excellent patient care, while maintaining a safe, efficient, and client-centered environment.

Key Responsibilities

Leadership & Team Management

  • Supervise, mentor, and motivate non-clinical staff including reception/front desk, administrative support, housekeeping, and technical support teams.
  • Foster a culture of accountability, respect, and collaboration across all teams.
  • Conduct regular performance evaluations, workforce planning, and skill enhancement programs.
  • Lead training initiatives aligned with veterinary best practices and service standards.

Operational Excellence & SOPs

  • Develop, implement, and regularly update Standard Operating Procedures (SOPs) for all operational areas.
  • Monitor patient flow, appointment scheduling, wait times, and service efficiency to enhance client experience.
  • Implement technology-enabled solutions for workflow efficiency and client communication.
  • Ensure operations comply with ethical, safe, and cost-effective practices.

Client Experience & Service Quality

  • Ensure smooth coordination between clinical staff, front desk, and support teams to optimize patient and client satisfaction.
  • Resolve client complaints effectively and implement feedback mechanisms for service improvement.
  • Conduct patient/client satisfaction surveys and drive measurable improvements.

Compliance, Accreditation & Risk Management

  • Ensure compliance with Dubai Municipality, Ministry of Climate Change & Environment (MOCCAE), and other UAE veterinary regulations.
  • Maintain readiness for audits, inspections, and any external licensing requirements.
  • Implement, document, and monitor infection control, hygiene, and safety protocols.
  • Drive risk management and continuous quality improvement initiatives.

Financial & Resource Management

  • Prepare, manage, and track the clinic’s operational budget.
  • Monitor costs, reduce wastage, and introduce cost-control measures.
  • Support price benchmarking and resource planning in coordination with the finance department.
  • Ensure optimal utilization of supplies, medications (non-clinical inventory), and consumables.

Facility & Vendor Management

  • Oversee preventive maintenance, repairs, safety, security, and cleanliness standards of the clinic’s premises.
  • Negotiate, monitor, and evaluate vendor/supplier contracts covering housekeeping, AMC (annual maintenance contracts), equipment servicing, and utilities.
  • Ensure timely procurement, inventory checks, and service quality from vendors.

Reporting & Data Analysis

  • Prepare monthly performance reports on key operational metrics (client visits, turnaround time, cost efficiency, etc.) for management.
  • Utilize clinic management systems to generate accurate reports for decision-making.
  • Recommend and implement process improvements based on data insights.

Job Requirements

Qualifications & Experience:

  • Bachelor’s degree in Healthcare Management, Business Administration, Veterinary Sciences (non-clinical), or a related field (Master’s preferred).
  • 6–8 years of proven experience in operations management within veterinary clinics, hospitals, or healthcare facilities in the UAE or GCC region.
  • Strong understanding of UAE regulatory and licensing requirements for veterinary clinics.
  • Demonstrated success in staff supervision, clinic workflows, SOP development, and audit readiness.

Skills & Abilities:

  • Excellent leadership, crisis management, and people management skills.
  • Strong financial acumen with experience in budgeting and vendor negotiations.
  • Familiarity with veterinary or hospital management software systems.
  • Ability to analyze operational data, track KPIs, and recommend improvements.
  • Exceptional communication and interpersonal skills with a client-first mindset.
  • Strong organizational ability to manage multiple priorities under pressure.

Pay: From AED8,000.00 per month
