Marketing and Office Experience Coordinator

We’re hiring a Workplace and Marketing Experience Coordinator to serve as our Charlotte office ambassador, advocate, and service associate, combining office, project, and marketing coordination to ensure our employees, clients, colleagues, and vendors have an exceptional experience working with Trinity Partners. As our front-of-house representative, this person is responsible for providing engaging, hospitality-forward service in a warm, positive atmosphere.
The Workplace and Marketing Experience Coordinator will work with our marketing and support professionals on a tight-knit team focused on hospitality, collaboration and problem-solving. This role is an ideal opportunity for recent graduates interested in learning more about commercial real estate and marketing. Responsibilities include, but are not limited to:
Service & Engagement
  • Take ownership of the overall office aesthetic, appearance, and function.
  • Welcome and connect guests with the appropriate Trinity team members.
  • Maintain, organize, and refresh shared spaces.
  • Support our team by providing engaging customer service and solutions to requests.
Marketing
  • Provide event support, including coordination, setup, onsite assistance, and breakdown.
  • Assist with the production and delivery of marketing collateral.
  • Coordinate recurring monthly marketing deliverables and e-blast campaigns.
  • Support social media content development and publication.
  • Perform monthly reviews of building marketing materials and update accordingly.
  • Maintain marketing databases, property listings, and website updates.
  • Coordinate photography, videography, and on-site signage to ensure spaces are presented at their best.
Facility Oversight
  • Submit work orders to building management for minor issues - temperature, restrooms, trash bags etc.
  • Communicate building announcements with onsite employees.
  • Represent the company for all building training and requirements (Fire Warden, etc).
Support & Operations
  • Maintain and restock kitchen supplies including cold food, breakroom snacks, coffee, and paper products. Run and empty the dishwasher.
  • Coordinate catering for various departments as needed, including setup and cleanup.
  • Reserve conference rooms as needed. Help with Zoom, Teams, and conference room hardware.
  • Oversee mail and deliveries, including preparing and distributing mail, UPS, and other deliveries.
  • Monitor company voice mail and messaging, responding and redirecting as needed.
Parking & Access
  • Activate and manage employee access cards and replace access cards as needed.
  • Interface with building management to assign parking for new hires, validate guest parking, and assist accounting with monthly parking validation report.
  • Serve as point person for building security and register guests as needed.
  • Oversee loading dock access and register vendors as required.
Requirements
  • 1 – 3 years in service, office administration, marketing, or similar fields
  • Bachelor’s degree, preferred.
  • Proficiency with Microsoft Office Excel, Word, and Outlook, required.
  • Ability to perform Notary duties, preferred.
  • Critical thinking and proactive, creative problem solving.
  • Ability to support teams and execute individual work.
  • Excellent written and oral communication skills.
  • Strong organizational and time management skills.
  • High level of professionalism, flexibility, and adaptability.
