Marketing & Operations Coordinator

Vanguard Skin Specialists is a dermatology and plastic surgery practice serving communities in southern Colorado. Our mission is to make a positive impact on our patients, our community, and our world. This mission drives everything we do from opening offices in underserved areas to sponsoring humanitarian projects to volunteering locally and abroad.

We are seeking an Operations & Marketing Coordinator to drive execution, coordination, and follow-through across Vanguard’s marketing initiatives, launches, and community outreach.

This role serves as a central coordinator within the organization—ensuring that marketing campaigns, new initiatives, and key communications are aligned, executed on time, and consistently delivered with excellence. This individual works across teams, vendors, and leadership to maintain Vanguard’s highest brand standards and reputation.

Duties and Responsibilities

This role is the central coordination hub for efforts that build long-term brand and visibility for Vanguard and its related brands.

Specific responsibilities include the following:

Marketing Project Management & Reporting

  • Coordinate execution of major marketing initiatives, including promotions for the following:
    • New location openings
    • New service line launches
    • New provider launches
    • Campaign and promotional rollouts
  • Maintain and actively manage a marketing and initiatives master calendar, ensuring all timelines, dependencies, and deliverables are clearly tracked and executed.
  • Partner with internal teams and leadership to gather inputs, align priorities, and provide timely execution of all initiatives. Proactively follow up with stakeholders to meet deadlines.
  • Provide clear monthly summaries to leadership on execution and marketing effectiveness. Track and report results.

Vendor & Partner Coordination

  • Serve as a central point of coordination for all marketing-related vendors and internal team, including:
    • PR Consultant
    • Website/SEO firm
    • Newsletter Creator
    • Digital Media Specialist
    • Medical Community Outreach
  • Track deliverables and follow through on all marketing initiatives.
  • Serve as the primary point of coordination to provide vendors and team members with necessary inputs and ensure work aligns with brand standards and timelines.

Brand Consistency & Execution

  • Maintain and ensure consistency of brand voice, messaging, and positioning across all channels, vendors, and initiatives; provide quality assurance for consistent brand messaging.
  • Provide light design work (business cards, flyers, slides, internal materials).

Digital Presence & Website Ownership

  • Partner with marketing firm to manage website, including updates, optimization, and performance improvements; this includes website for Vanguard and its related brands.
  • Coordinate production of blog generation, including recruiting internal writers, proofing results, and refining for online publication.
  • Lead efforts to improve SEO, user experience, and conversion rates in coordination with internal and external partners.
  • Launch new website and online presence for new brands or businesses related to Vanguard.
  • Align campaigns, services, and digital presence.

Community Engagement & Events Coordination

  • Coordinate Vanguard’s community outreach efforts including:
    • Community service initiatives
    • Local events and sponsorships
    • Charitable programs
  • Work closely with Vanguard’s leadership to plan and execute well-organized service initiatives aligned with Vanguard’s mission.
  • Manage logistics, communication and follow-through for all community-related events.

Operational Support

  • Maintain in-office marketing materials including brochures, handouts, slideshows, etc. that reflect Vanguard’s brand. Work across teams to maintain consistency.
  • Support senior leadership team with internal and external marketing-related communication such as newsletters, correspondences, and meeting materials that are brand and mission consistent.
  • Provide administrative office support to company headquarters including mail sorting and distribution, ordering office supplies, and maintaining the office environment.

Outcomes and Targets

Performance reviews take place annually. Performance will be measured by the following:

  • Execution & Timeliness of Marketing Initiatives: On time delivery at high quality
  • Coordination Effectiveness: Minimal need for leadership follow-up, no missed hand-off’s, strong alignment in marketing efforts
  • Brand Quality: Consistency and reputation of brands
  • Tangible Results: Marketing metrics specific to initiatives (website visitors, conversion rates, attendance, etc.), annual OKRs, and industry awards

Schedule

Hours: Full-time. This role requires a high level of reliability and consistent in-person presence. Attendance at scheduled events, meetings, and key initiatives is essential. Marketing events may require occasional evening and weekend work.

Location: Primarily based in the headquarters office, located in the Northgate area. Travel to various Vanguard locations and events will be required. This is not a remote or hybrid position.

Compensation & Benefits

Compensation is $25 to $29/hour, depending on prior experience. Benefits include PTO, paid holidays, medical, vision, dental, 401K with employer match.

This role is best suited for someone who is highly organized, dependable, and takes ownership of execution and timely results.

  • Bachelor’s degree preferred. Backgrounds in business or the humanities (e.g., liberal arts) are well-suited to this role. Strong writing ability, critical thinking, and organizational skills are more important than specific field of study.
  • 3+ years of experience in marketing coordination, operations, project management, or a similar execution-focused role. Demonstrated ability to manage multiple priorities, multiple stakeholders, and follow through reliably and on time with minimal oversight.
  • Excellent written and verbal communication skills. Able to produce clear, professional communications and ensure message consistency.
  • Working knowledge of digital marketing channels (email newsletters, website, social media); ability to coordinate execution across these platforms.
  • Experience managing or updating website content (CMS platforms such as WordPress or similar) is a plus.
  • Basic design capability (Adobe Creative Suite, Canva, or similar tools).
  • High level of reliability and accountability, including consistent attendance, punctuality, and ability to support time-sensitive events and initiatives.
  • Ability to work independently, anticipate needs, and proactively follow up.
  • Clear alignment with Vanguard’s mission and values.

Physical Working Conditions & Requirements

  • Must be able to sit and work at a desk for extended periods of time
  • Ability to see color
  • Ability to operate a computer and standard office equipment
  • Ability to communicate effectively in written and verbal formats
  • Ability to travel to various Vanguard locations
  • Be able to communicate accurately, effectively and frequently both written and verbal. Includes typing skills.
