Position Overview

As a Patient Concierge, you will act as the central hub of the patient experience, seamlessly coordinating front desk operations, communication, and administrative workflows. This role requires a high level of organization, responsiveness, and professionalism in a dynamic, high-volume environment.


Key Responsibilities

Elevated Patient Experience

  • Welcome and assist 60–100+ patients daily with a polished, professional presence
  • Deliver a concierge-level experience, addressing patient needs proactively and efficiently
  • Ensure a smooth, organized flow throughout the clinic environment


High-Volume Communication

  • Manage 900–1,000+ calls per week with accuracy and professionalism
  • Meet strict response-time expectations while maintaining a warm, composed tone
  • Serve as a reliable point of contact for patient questions and concerns


Insurance & Financial Coordination

  • Verify insurance eligibility (HMO, PPO) and confirm coverage details
  • Accurately collect co-pays, balances, and self-pay amounts
  • Utilize insurance platforms to support clear and efficient financial processes


Administrative Excellence

  • Rotate between front-facing and back-office responsibilities
  • Maintain accurate patient records, scheduling, and documentation within EMR systems
  • Support clinic operations with a team-first, solutions-oriented mindset


Qualifications


Required

  • High School Diploma or equivalent
  • Minimum 1 year of experience in a medical or dental office
  • Working knowledge of insurance terminology (HMO, PPO, co-pay, co-insurance)
  • Strong communication skills with a focus on professionalism and patient service
  • Ability to thrive in a fast-paced, metrics-driven environment
  • Tech-savvy with the ability to learn EMR systems and insurance tools


Preferred

  • Experience in dental, surgical, or high-volume specialty settings
  • Familiarity with EMR platforms (Athena experience is a plus)
  • Background in physical therapy or specialty clinics

Schedule & Flexibility

  • Rotating shifts between 6:30 AM – 5:30 PM, Monday–Friday
  • Occasional Saturday rotation (~1 every 6 weeks, 7:30 AM – 11:30 AM)
  • Half-day Friday prior to Saturday shift
  • Schedule provided one month in advance
