Medical Receptionist Job Description

Job Summary

This position is responsible for day-to-day administrative and general office duties including heavy phones and data entry. Receives incoming telephone calls in a prompt, courteous, and professional manner and greets/assists visitors in the same manner. This is a fast paced position that requires a true joy for working with people and staying organized, positive and upbeat!

Primary Job Responsibilities

  • Welcomes patients/clients/visitors, determines the purpose of visit and directs them to appropriate person or department(s).
  • Promptly and professionally answers telephone calls. Routes calls to the appropriate person.
  • Phones or messages appropriate co-workers to meet visitors and directs visitors to appropriate waiting areas.
  • Facilitates patient flow and communicates delays with patients and clinical staff.
  • Follows all Clinic policies on safety and security; maintains computer system passwords in strict confidentiality.
  • Appropriately and courteously screens pharmaceutical reps for relevance to organization needs.
  • Explains financial requirements to the patients or responsible parties and collects copays as required.
  • Responsible for keeping the reception and patient waiting areas, and office files clean and organized.
  • Monitors medical office supplies and inventory needs, requests orders and oversees office equipment.
  • Performs other duties as assigned.

Education

High school diploma or equivalent.

Experience

One year of experience in a medical office setting utilizing Athena EMR.

Requirements

  • Substantial experience with Athena EMR system
  • A positive, upbeat attitude is a must! Excellent interpersonal skills with the ability to interact with patients, patient families, coworkers, and other medical professionals in a kind, tactful manner
  • Detail oriented, organized, self motivated
  • Punctual - this position requires arriving 10 minutes prior to first patient appointment to open the office
  • Willingness to work until last patient has left the office, at times this may be after outlined business hours (rare)
  • Demonstrate a professional attitude and appearance.
  • Ability to rotate to our Argyle location every 4th week

Skills:

  • Experience with multi-line phone system, including transferring calls.
  • Ability to exercise a high degree of sensitivity and tact while multi-tasking, organizing and scheduling patients.
  • Experience with ATHENA ONE EMR is required
  • Adequate hearing to answer phone and speak with patients.
  • Ability to speak confidently and clearly enough to be heard by callers and patients without violating HIPPA – be aware of surroundings and compensate appropriately
  • Ability to speak Spanish is preferred, but not required

Abilities:

  • Ability to work well under pressure with minimal supervision.
  • Ability to elicit appropriate information to route calls to the appropriate person.
  • Ability to prevent, calm, and/or defuse irate callers and patients working with them to identify concerns and properly directs calls.
  • Ability to learn and efficiently use appropriate practice management software.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
