Position Overview
The Office Assistant plays an essential role in the daily operations of our clinic. This position is responsible for maintaining a clean and professional environment, providing excellent customer service to families, supporting clinic leadership, and assisting with administrative and operational tasks. This is an excellent opportunity for someone interested in pursuing a career in ABA and becoming a Registered Behavior Technician (RBT).
Key ResponsibilitiesFront Office & Customer Service
- Answer incoming phone calls and respond to general inquiries from parents, caregivers, and providers.
- Greet families, visitors, and vendors in a friendly and professional manner.
- Assist with client check-in and check-out procedures.
- Ensure the front office remains organized, welcoming, and professional at all times.
- Communicate messages accurately to the appropriate team members.
Clinic Operations & Administrative Support
- Assist floor managers and leadership with daily administrative and organizational tasks.
- Support therapists and clinical staff with operational needs throughout the day.
- Help coordinate schedules and communicate staffing needs as directed.
- Cover staff breaks when appropriate to ensure smooth clinic operations.
- Assist with filing, copying, data entry, and other clerical duties.
Cleaning & Facility Maintenance
Maintaining a clean clinic environment is a core responsibility of this position.
- Clean and sanitize therapy rooms, common areas, bathrooms, break rooms, and office spaces throughout the day.
- Disinfect toys, therapy materials, tables, chairs, and high-touch surfaces.
- Sweep, mop, vacuum, and take out trash as needed.
- Restock cleaning supplies, paper products, and clinic materials.
- Assist in maintaining a safe, organized, and professional environment for clients, families, and staff.
- Follow all clinic cleaning and sanitation procedures.
Qualifications
- Strong communication and customer service skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Reliable, punctual, and professional.
- Comfortable answering phones and interacting with families.
- Willingness to assist with cleaning and facility upkeep on a daily basis.
- Previous administrative, customer service, childcare, or office experience is preferred but not required.
- Interest in pursuing a career in ABA or becoming a Registered Behavior Technician (RBT) is highly encouraged.
