Office Administrative Assistant

The Office Administrative Assistant will be responsible for the overall administrative duties to ensure the location is functioning properly. The individual will perform a variety of administrative tasks and support our senior-level executives. The Office Administrative Assistant will be the first point of contact for all guests, vendors, and visitors.

  • Act as the point of contact among executives and clients and other external partners.
  • Coordinate office cleaning, IT needs and serve as liaison between office and building management.
  • Manage information flows in a timely and accurate manner.
  • Prepare expense reports as requested.
  • Format information for internal/external communication such as memos, emails, presentations, reports.
  • Take minutes/notes during meetings and distribute to appropriate individuals.
  • Assist office team as requested with administrative duties.
  • Follow up on open items.
  • Answer phones in a professional, upbeat manner and make reservations without under or overbooking the restaurant.
  • Help train new hosts in reservations system and day-to-day reservations management.
  • Handle guests’ complaints and issues, providing resolutions that ensure customer satisfaction while adhering to company policies.
  • Monitor and manage inventory levels at the front end, including supplies for POS, iPad, Pens, and customer service materials, to ensure availability and operational readiness.
  • Implement and enforce health and safety protocols among front-end staff, ensuring a safe working and dining environment for employees and guests.
  • Coordinate with the restaurant management and other departments to facilitate smooth operations, including addressing any logistical challenges that affect the front end.
  • Analyze reservations and front-end performance metrics to identify trends, areas for improvement, and opportunities for increasing efficiency and customer satisfaction.
  • Oversee the maintenance and cleanliness of the front-end area, ensuring a positive first impression for customers entering the restaurant.
  • Screen and direct phone calls and distribute correspondence.
  • Maintains office supplies and printed items, including stationery and envelopes; tracks supply levels and orders replenishments as necessary; maintains organization of supply cabinets.
  • Must be proactive in individual task settings with the ability to multi-task and prioritize.
  • Maintain office space organized, and presentable always.
  • Follow all company policies and procedures including proper timekeeping and emergency and safety procedures.

  • Must be able to occasionally lift up to 20 lbs.
