Office Administrative Assistant

Position Overview

We are seeking a highly organized and execution-focused Office Administrative Assistant to support daily operations at our center. This position operates under the direct supervision of the Office Manager and is responsible for carrying out assigned administrative, front desk, clerical, and operational support tasks in alignment with established office systems and procedures.

This is a structured support role within an established administrative hierarchy. The ideal candidate is confident, proactive, detail-oriented, and comfortable handling frequent professional phone communication as a core part of daily responsibilities.

Schedule

Monday to Friday, from 3:00 PM to the end of the service daymaximum 7:30 PM

Saturday, 8:00 AM to the end of the service day — Saturday hours are variable.

-The starting rate of pay for this position is $15.00 per hour.

Performance reviews will be conducted every six (6) months. Based on satisfactory performance and continued compliance with all job requirements, the hourly rate may be increased by $1.00 per hour following each review.

Hourly rate increases may continue in this manner until the employee reaches a maximum pay rate of $20.00 per hour. Any pay increase is subject to management approval.

Core Responsibilities: Front Desk & Phone Communication — High Priority Function

  • Manage inbound and outbound calls daily in a high-volume environment
  • Communicate confidently and professionally with parents, clients, insurance companies, vendors, and external agencies
  • Handle insurance verification calls, authorization follow-ups, and billing-related inquiries
  • Resolve routine matters independently and escalate appropriately when needed
  • Maintain professional phone etiquette under pressure

Note: This role requires consistent phone communication. Candidates must be comfortable initiating calls, speaking clearly and confidently, and handling administrative conversations without hesitation.

Administrative Execution

  • Perform accurate data entry and documentation processing
  • Maintain organized digital and physical filing systems
  • Assist with intake processing and insurance documentation tracking
  • Support appointment scheduling and calendar coordination

Operational Support

  • Follow structured workflows delegated by the Office Manager
  • Maintain supply inventory and assist with office coordination
  • Support compliance documentation and internal audits
  • Assist during high-demand administrative periods
  • Complete end-of-day center checks before leaving, including inspecting rooms for open food packages, leftover food items, or garbage, and disposing of any such items properly
  • Empty indoor garbage bins into the outdoor garbage container located at the back of the shopping center whenever bins are full, preferably on a daily basis
  • Vacuum carpeted areas at least once per week, or more often as needed to maintain a clean and professional environment

Preferred Qualifications:

  • Prior administrative or front desk experience (preferred but not required)
  • Strong phone communication skills and professional presence
  • Comfort handling insurance companies and business-to-business calls
  • Proficiency in Adobe Acrobat.
  • Strong typing skills and computer literacy
  • Ability to follow structured systems and maintain organization
  • Close attention to detail and time management

Pay: $15.00 per hour
