Office Administrator

Overview
We are seeking a dynamic and highly organized Office Administrator to join our team! This pivotal role is designed for a proactive individual who thrives in a fast-paced environment and is passionate about streamlining office operations. As the backbone of our administrative functions, you will ensure the smooth daily running of our office, support team members, manage vendor relationships, and uphold excellent communication standards. Your energetic approach and meticulous attention to detail will help foster an efficient, welcoming workplace where everyone can succeed.

Duties

  • Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication.
  • Manage scheduling and calendar appointments for leadership and team members, coordinating meetings and events with precision.
  • Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
  • Handle vendor management by negotiating contracts, processing invoices via QuickBooks, and maintaining strong supplier relationships.
  • Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes.
  • Organize filing systems, maintain accurate bookkeeping records, and perform basic bookkeeping tasks to support budgeting efforts.
  • Plan and coordinate company events, meetings, and community outreach activities to promote engagement and team spirit.

Qualifications

  • Proven experience in office management or administrative roles with a focus on clerical duties and organizational skills.
  • Demonstrated supervising experience with the ability to lead and motivate a team effectively.
  • Bookkeeping skills with experience with job costing.
  • Excellent communication skills—both verbal and written—and professional phone etiquette.
  • Strong organizational skills with the ability to manage multiple calendars, schedules, and priorities efficiently.
  • Experience in Electrical contracting is a plus but not required.
  • Knowledge of human resources procedures including onboarding, payroll processing, and employee training & development.
  • Familiarity with Apple Eco structure preferred.
  • Experienced in Apple numbers and pages preferred.

Pay: $23.69 - $28.53 per hour
