We are seeking a motivated and detail-oriented Office Administrator to support both our for-profit (Harmony Fresh Seafoods) and nonprofit organizations (Soterra International). This unique position offers the opportunity to contribute to meaningful nonprofit work while also assisting in the daily operations of growing business ventures.

Key Responsibilities
Administrative & Operational Support (Both Nonprofit & For-Profit)
- Manage general office operations including email correspondence, scheduling, filing, and document organization.
- Maintain accurate digital and physical records for both nonprofit and business activities.
- Support leadership with reports, meeting notes, and project coordination.
- Assist with payroll, invoicing, expense tracking, and reimbursements.
- Maintain vendor, donor, and client databases.
- Help coordinate meetings, events, and travel logistics.
Nonprofit Support (Approx. 20%)
- Assist with donor communications, acknowledgments, and database entry.
- Support fundraising events, volunteer coordination, and community engagement efforts.
- Help prepare nonprofit filings, reports, and board meeting documentation.
- Manage communication between Soterra International, donors, and partner organizations.
For-Profit Support (Approx. 80%)
- Provide administrative assistance to affiliated businesses and leadership teams.
- Help with bookkeeping, document preparation, and file management.
- Support business development efforts with research, scheduling, and materials organization.
- Maintain compliance-related documents and assist with contracts, renewals, and general record-keeping.
- Manage all aspects of our Quickbooks account.
Qualifications
- 2+ years of experience in administrative or office support roles (nonprofit experience a plus).
- Strong organizational and communication skills.
- Proficient in Google Workspace (Docs, Sheets, Drive, etc.), Google Drive, and Quickbooks.
- Comfortable handling sensitive information with discretion and professionalism.
- Ability to prioritize multiple projects and meet deadlines.
- A proactive, can-do attitude and willingness to learn new systems and processes.

Compensation & Details
- Wage: $20–$25 per hour (based on experience)
- Schedule: Full-time (40 hours per week)
- Location: Primarily in-office (Salem, OR), with occasional remote flexibility
