Oversee daily administrative operations, ensures compliance with safety regulations, manages office staff, and supports logistics/dispatch teams.

Core Responsibilities

Fleet & Compliance Management:

  • Ensures all trucks are routinely serviced, registered, and inspected.
  • Maintains DOT compliance, including driver logs, medical certifications, and drug testing records.
  • Oversees vehicle maintenance records and ensures roadworthiness through regular inspections.

Logistics & Dispatch Coordination:

  • Assists or oversees the scheduling and routing of drivers to ensure on-time deliveries.
  • Communicates daily with drivers to track load movements and resolve on-road issues like breakdowns.
  • Manages Proof of Delivery (POD) and other critical shipping documentation.

Administrative & Financial Oversight:

  • Processes invoices, payroll, and billing specifically related to freight and fuel costs.
  • Manages the office budget, vendor relationships (e.g., parts suppliers, fuel providers), and office supplies.
  • Generates operational reports on fuel efficiency, maintenance costs, and delivery performance.

Human Resources & Safety:

  • Conducts driver onboarding and training, ensuring all staff follow company safety protocols.
  • Maintains personnel files and handles internal communications between drivers and upper management.
  • Promotes a culture of safety by organizing audits and safety meetings.
