Overview
We are seeking a proactive and detail-oriented Office Assistant with Drafting Experience to join our dynamic team. Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette
- Perform data entry and maintain accurate filing systems both digitally using Google Workspace and physically for easy retrieval
- Assist with bookkeeping tasks utilizing QuickBooks to track expenses, invoices, and financial records
- Support office management activities such as calendar management, scheduling appointments, and coordinating meetings
- Provide clerical support including proofreading documents, preparing reports, and ensuring all correspondence is clear and error-free
- Assist with drafting, editing, and reviewing project documents or drawings using basic drafting software or tools as needed
- Handle general office responsibilities like filing, organizing supplies, managing office inventory, and supporting personal assistant tasks for senior staff
Qualifications
- Proven experience in an office environment with strong clerical and administrative skills
- Familiarity with drafting processes or basic drafting software is highly desirable
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Strong computer literacy including data entry, proofreading, and document management
- Bilingual abilities are a plus for supporting diverse client interactions
- Exceptional phone etiquette and customer service skills for front desk operations
- Demonstrated time management skills with the ability to prioritize tasks effectively
