Job Title: Office / HR Manager

Job Summary:
Embers Protection Services Inc. is seeking a dependable and experienced Office / HR Manager to oversee daily office operations while managing core human resources functions. This role is critical in supporting both administrative efficiency and employee relations across the company. The ideal candidate is highly organized, people-focused, and experienced in HR practices within construction or service-based industries.
Key Responsibilities:
Office Management:
- Oversee day-to-day office operations to ensure efficiency and organization
- Maintain office systems, supplies, and vendor relationships
- Support leadership with administrative tasks, reporting, and scheduling
- Coordinate communication between office staff, field teams, and management
- Maintain organized filing systems for company and project documentation
Human Resources:
- Manage full-cycle recruitment, including job postings, screening, and onboarding
- Maintain employee records and ensure compliance with federal, state, and local labor laws
- Process new hires, terminations, and employee status changes
- Administer payroll coordination, benefits enrollment, and timekeeping systems
- Serve as the primary point of contact for employee relations, addressing concerns and resolving issues
- Develop and implement HR policies, procedures, and employee handbooks
- Ensure compliance with safety regulations and support training initiatives
- Track certifications, licenses, and required training for field and office staff
Compliance & Support:
- Assist with audits, insurance documentation, and regulatory compliance
- Support company growth by improving internal processes and HR systems
- Coordinate performance reviews and employee development initiatives
Qualifications:
- Proven experience as an Office Manager, HR Manager, or similar role
- Strong knowledge of HR practices, labor laws, and compliance requirements
- Excellent organizational and multitasking skills
- Strong interpersonal and communication abilities
- Proficiency in Microsoft Office and HR/payroll software
- Ability to handle sensitive and confidential information with professionalism
Preferred Qualifications:
- Experience in construction, fire protection, or service-based industries
- Familiarity with certified payroll, prevailing wage, or union environments (if applicable)
- Experience with QuickBooks or similar accounting systems
