Job Summary

We are a growing logistics company looking for an experienced and highly professional Office Manager with strong logistics industry background. The ideal candidate will have hands-on experience in air, sea, and land shipments, office setup, documentation, accounting coordination, team building, and business planning. This role is critical for managing day-to-day operations and supporting the growth of a new company.

Key Responsibilities

Operations & Logistics

  • Manage daily office and logistics operations for air, sea, and land shipments
  • Coordinate with freight forwarders, shipping lines, airlines, transporters, and agents
  • Ensure smooth execution of import & export shipments

Company Setup & Management

  • Support management in handling and structuring a newly established logistics company
  • Prepare and implement operational and growth plans for the company
  • Establish internal processes, workflows, and SOPs

Team Building & Leadership

  • Recruit, onboard, and manage office staff (operations, documentation, sales, accounts)
  • Lead, motivate, and supervise the team to achieve company goals
  • If available, bring an existing sales or operations team (added advantage)

Documentation & Compliance

  • Oversee logistics documentation including BL, AWB, BOE, invoices, packing lists, COO, etc.
  • Ensure compliance with customs, free zone, and regulatory requirements

Accounting & Invoicing

  • Handle or supervise invoicing, cost sheets, receivables, payables, and basic accounting coordination
  • Work closely with accountants and management on financial controls and reporting

Sales, Marketing & Relations

  • Maintain strong relationships with customers, vendors, and government authorities
  • Support sales activities and marketing initiatives to grow company business
  • Contribute to branding, marketing strategies, and market positioning

Requirements & Qualifications

  • Proven experience in a logistics / freight forwarding company
  • Strong knowledge of air, sea, and land shipments
  • Experience handling office management and company setup for a new business
  • Knowledge of logistics documentation and invoicing processes
  • Team leadership and people management experience
  • Strong organizational and communication skills
  • Arabic language is an advantage (English is mandatory)
  • Ability to work independently and take ownership of responsibilities

  • Existing industry contacts and client relationships
  • Experience hiring and managing logistics staff
  • Marketing and business development knowledge
  • Experience in UAE logistics market (Free Zones / Mainland)
