We are seeking a detail-oriented and organized Office Manager to manage the day-to-day operations for our company. If you enjoy wearing multiple hats, this position is for you. The position encompasses a wide array of operational duties including scheduling, human resources, customer management, and data management. The individual most likely to have success will be positive, proactive, adaptable, and possess strong communication and organizational skills.
Key Responsibilities:
Operations Responsibilities:
· Plan, direct and coordinate the day-to-day operations.
· Prepare schedules based on criteria such as customer needs, workload, location and employee availability.
· Provide superior client interaction to ensure customer satisfaction.
· Answer direct phone calls and respond to inquiries.
Administrative Responsibilities:
· Responsible for invoicing, accounts payable and accounts receivable as necessary.
· Process and input the results of the day’s operational plan.
Human Resources Responsibilities:
· Coordinate recruitment process, including posting job openings and scheduling interviews.
· Maintain employee records and ensure compliance with HR policies.
· Assist with payroll entry into proprietary software.
· Foster high employee morale and engagement consistent with the Maids’ culture.
Sales Responsibilities
· Interact with customers to provide information in response to inquiries about services and availability.
· Support print, digital, email, and phone Marketing efforts when needed.
Qualifications:
Desired skills and experience:
· Bachelor’s degree or equivalent experience in office management
· Knowledge of business and management principles involving coordination of people and resources.
· Strong leadership and motivational skills.
· Possess attention to detail and the ability to organize, prioritize and multitask effectively.
· Ability to manage competing demands and frequent change.
· Ability to communicate with employees and customers tactfully, diplomatically and professionally.
· Proficient in MS Office Suite
· Comfortable and efficient using computers and varying software to accomplish assigned tasks.
· Bilingual English/Spanish skills strongly preferred
· Valid Driver’s License
