Office Manager / Bookkeeper

Job Overview
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations and maintain accurate financial records. This role requires a versatile individual capable of managing administrative tasks, supervising staff, coordinating vendor relationships, and handling bookkeeping responsibilities. The ideal candidate will possess strong communication, organizational, and leadership skills to ensure the smooth functioning of our office environment and financial processes.

Duties

  • Manage daily office operations, including front desk duties and multi-line phone systems
  • Oversee calendar management, scheduling appointments, meetings, and events
  • Supervise administrative staff and coordinate training & development initiatives
  • Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
  • Manage payroll processing and human resources functions such as employee records and benefits administration
  • Coordinate vendor management activities, including contract negotiations and supply procurement
  • Assist with event planning for company functions or client events
  • Maintain filing systems, ensure document organization, and handle clerical duties such as data entry and record keeping
  • Oversee budgeting processes and monitor office expenses to ensure fiscal responsibility
  • Ensure effective communication within the team through phone etiquette and clear correspondence
  • Support medical office management if applicable, ensuring compliance with relevant policies

Skills

  • Proven experience in office management, administrative support, or clerical roles
  • Strong bookkeeping skills with proficiency in QuickBooks or similar accounting software
  • Experience in payroll processing and human resources functions
  • Excellent organizational skills with the ability to manage multiple priorities effectively
  • Effective communication skills for interacting with staff, vendors, and clients
  • Supervising experience with team management capabilities
  • Event planning expertise for coordinating company or client events
  • Knowledge of vendor management strategies and contract negotiations
  • Familiarity with schedule management tools and calendar coordination
  • Ability to handle front desk responsibilities with professionalism and courtesy
  • Training & development skills to support team growth and performance improvement

Job Type: Full-time

Pay: $22.63 - $27.25 per hour
