Onsite Virtual Assistant (CRM Expert)

Key Responsibilities

CRM Management (Essential)

  • Maintain and manage the company’s CRM system, ensuring accurate and up-to-date records of client data, leads, and follow-ups
  • Monitor client interactions, sales opportunities, and pipeline status
  • Ensure data integrity, proper structuring, and regular updates within the CRM

Administrative & Operational Support

  • Manage daily operations and prioritize tasks effectively
  • Maintain well-organized records, documentation, and data systems
  • Assist in the coordination and execution of ongoing projects

Communication & Coordination

  • Engage professionally with clients and internal teams
  • Coordinate with stakeholders to ensure timely task completion
  • Manage client follow-ups and handle administrative correspondence efficiently

Lead Generation & Database Management

  • Conduct research to identify potential business leads
  • Maintain and regularly update lead databases
  • Track lead activity and monitor progress throughout the sales cycle

Tools & Design Skills

  • Utilize project management tools such as Trello, Asana, or Jira
  • Possess working knowledge of Canva and Adobe Photoshop
  • Create basic visual and marketing materials when required

Google Workspace Proficiency

  • Effectively use Google Docs, Sheets, Gmail, and Calendar
  • Manage reports, schedules, and documentation in a structured manner

Time Management & Problem-Solving

  • Handle multiple responsibilities with strong attention to detail
  • Work independently while meeting deadlines consistently
  • Identify operational issues proactively and implement solutions

Requirements

  • Minimum 1 year of relevant experience (CRM experience required)
  • Strong written and verbal communication skills
  • Experience in administrative support and lead generation
  • Proficiency in CRM systems and Google Workspace
  • Availability to work evening shift (5:00 PM – 1:00 AM)
