We are a boutique interior design and fabrication studio known for our creative, bespoke projects. As our workload grows, we’re looking for a versatile professional to bring structure to our daily operations and oversee our financial activities.
Role Summary
The Operations & Accounts Manager will ensure smooth day‑to‑day operations while managing the studio’s finances and vendor relationships. This pivotal role touches every part of the business—from coordinating projects and streamlining workflows to tracking budgets, processing invoices and maintaining financial records.
Key Responsibilities
- Operations Management: Oversee daily studio operations; coordinate with designers, site teams and vendors to ensure projects run on schedule and resources are used efficiently.
- Process Optimization: Identify and fix inefficiencies; implement systems to improve productivity and reduce bottlenecks.
- Financial Management: Maintain financial records; prepare and submit client invoices; manage accounts receivable/payable and payroll; track monthly expenses; assist with budgeting and variance analysis.
- Vendor & Contract Management: Handle vendor communications and negotiations; track orders; manage client contracts from initiation through completion, monitoring expenditures and timelines.
- Reporting & Compliance: Work with our accountant on bank reconciliations and tax filings; generate basic financial reports for management; ensure regulatory compliance.
- Administrative Support: Oversee office supplies and general administration; support HR processes (e.g., onboarding, attendance tracking) as needed.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration or a related field.
- 2–5 years of experience in operations and financial management, preferably in a design, construction or creative environment.
- Proficiency with accounting software (e.g., Odoo, Tally, QuickBooks) and advanced skills in Microsoft Excel.
- Solid understanding of budgeting, financial reporting, and accounts payable/receivable processes.
- Strong leadership and communication skills; ability to motivate teams and liaise effectively with vendors and clients.
- Detail‑oriented, organized and able to prioritize in a fast‑paced environment.
- Familiarity with interior design or construction workflows is an advantage but not required.
