Job Summary: Taskaler is seeking a proactive and detail-oriented Operations Assistant to support the daily operations, cross-departmental coordination, and strategic planning. The ideal candidate will be an organized multitasker with strong communication, analytical, and problem-solving skills, capable of handling dynamic business requirements effectively.

Key Responsibilities:

Purchase Order (PO) Management:

  • Create, issue, and track purchase orders for all supply chain categories, including raw materials, packaging, consumables (e.g., cups), coffee beans, and equipment (e.g., coffee machines).
  • Ensure POs are accurately aligned with forecasts, budgets, and internal requirements.
  • Maintain PO logs and status reports for visibility and updates to internal stakeholders.

Supplier Coordination:

  • Liaise with suppliers to confirm order details, lead times, delivery schedules, and documentation requirements.
  • Follow up on delayed or missing deliveries and escalate to the Supply Chain Analyst as needed.

Inventory and Delivery Support:

  • Collaborate with warehouse and logistics teams to coordinate incoming raw material deliveries and ensure receipt documentation is accurate.
  • Update internal systems with delivery confirmations and discrepancies.

Data Entry and Reporting:

  • Maintain accurate records of procurement activities in software.
  • Generate weekly and monthly procurement reports for the Supply Chain Analyst.
  • Support the preparation of performance dashboards and KPIs as needed.

Administrative and Compliance Tasks:

  • Support supplier onboarding with documentation collection and system input.
  • Ensure all procurement activities adhere to internal compliance standards and documentation protocols.
  • Assist in audit preparation by organising and providing required documentation.

Continuous Improvement:

  • Identify and suggest improvements to PO processes, templates, or communication flows to improve efficiency and accuracy.
  • Assist in documentation of standard operating procedures (SOPs) related to administrative procurement functions.

Requirements:

  • Strong organisational, scheduling, and planning skills.
  • Proven experience of 2 Years as an Operations Assistant or in a similar role, preferably in the e-commerce or retail industry.
  • Excellent verbal and written English communication and relationship management skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Analytical and detail-oriented mindset with strong problem-solving abilities.
  • Ability to manage sensitive and confidential information with discretion.
  • Strong interpersonal skills to collaborate effectively across teams and with senior management.
