About JOGA Soccer Academy
JOGA Soccer Academy is the premier private youth soccer training company in Washington State, operating three indoor training facilities across Bellingham, Anacortes, and Marysville. We currently serve over 110 athletes ages 6 to 17 through personalized 1-on-1, 2-on-1, and small group development programs with a team of 14 staff members. Our founder, Kevin Galiano, is a former Division 1 soccer player who built JOGA on a simple conviction: elite athlete development is personal, never one-size-fits-all.

The Opportunity
This is not an answering-phones-and-filing-papers role. We are hiring an Operations Assistant who will function as the operational backbone of a growing multi-location sports brand. You will report directly to the CEO and Founder. There is no middle management buffer. Your work will be visible, your impact will be measurable, and your growth will be directly tied to the growth of the company.
You will own the day-to-day coordination that keeps three locations running smoothly: athlete scheduling, customer communication, lead follow-up, billing, marketing support, vendor logistics, reporting, and special projects. You will be the person the team and our families rely on to keep everything organized, on time, and executed at a high level.

What You Will Be Responsible For
You will manage all inbound customer communication across phone, email, text, and social media, ensuring every parent and athlete receives a prompt, professional response. You will coordinate scheduling across all three locations, handling coach assignments, cancellations, makeups, and onboarding logistics for new athletes.
You will play a direct role in our sales pipeline by following up with leads from paid advertising campaigns, confirming evaluation appointments, and guiding new families through enrollment. You will maintain our CRM and internal tracking systems with precision, because decisions at this company are made from data, and that data needs to be accurate.
Billing and payment processing through Stripe will fall under your scope, along with marketing execution tasks including social media posting, ad response management, and creative asset organization. You will prepare weekly performance reports and dashboards for team meetings and CEO review. Facility logistics such as supply ordering, vendor coordination, and operational upkeep across all three locations will also be part of your day-to-day.
As we grow, you will take on special projects ranging from event coordination to process improvement to new location launch support.

You are the type of person who notices when something is off before anyone else does and fixes it without being asked. You communicate clearly, professionally, and confidently whether you are speaking with a parent, a coach, or the CEO. You pick up new technology quickly and are comfortable navigating platforms like Stripe, Wix, Meta Business Suite, and Google Workspace.
You have previous experience in operations, administrative leadership, customer service, or office management and you are looking for a role where your skills actually matter, not a role where you blend into a large corporate team. An interest in sports, youth development, or the soccer community will make this role significantly more fulfilling for you.
You are available to work flexible hours including occasional evenings or weekends when the business requires it.
