Job Description:
Working with a number of Departments and Seniors, the role will provide clerical and administrative support to Departmental Managers and assists in coordinating all aspects of daily operations for both Medical and Support Departments. As an operations coordinator, the job holder should be able to resolve problematic situations efficiently and have excellent communication and organizational skills. The role will play a part of the Business Development of the Dental Center till its full growth. Ultimately, an outstanding operations coordinator should be able to ensure the smooth daily operations of the Dental Center.
A. General Services
- Oversee the day-to-day operations of the facility with the goal of providing high-quality and efficient dental service to patients. This involves assisting with the daily operations for both Medical and Support.
- Be the designated person to act as the bridge between departments and branches of the center.
- Communicate effectively, professionally, and in a timely manner with both internal and external departments, including both main and branch staff members
- Develop and maintain strong professional relationship with team members and Department Heads, including but not limited to HR Director, Finance Director, IT Director, Licensing Officer, Marketing Director, BD Director, Engineering Manager, OT Manager etc.
- Assume responsibility for coordinating with the GA and OT Manager for any necessary dental surgery preparation.
- Take lead with project management by creating assignments, tracking progress, and resolving issues.
- Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made
- Performing administrative tasks such as emailing designated personnel from different departments to efficiently solve concerns in daily operations.
- Assist the human resources department with employee complaints and work with other relevant departments to address them.
- Preparing and maintaining operations documents and reports.
- Provide administrative support during audits as required and/or assigned.
B. Business Development
- Arrange business meetings with prospective clients (ex: Universities, Schools, Organizations)
- Attend Marketing Events and Campaigns conducted by FDOC or Reem Hospital to represent the Dental Department
- Coordinate with Procurement and Suppliers for Marketing items to be used
- Propose business ideas to improve Brand Reputation and Financial Growth
C. Compliance
- Create process controls to ensure all daily operations are aligned and following the processes, policies and regulations of FDOC and Reem Hospital
- Ensure proper documentation and record management of all Administrative and Medical Department
- Adhere to all applicable rules and regulations of DOH and the center
- Ensure confidentiality of employee and patient’s information
- Knowledgeable in DOH Rankin Audits and JCIA Accreditation.
