Key Responsibilities:

Monitoring of the company-approved Equipment Rental Software system(s) (EasyJob) and other operational systems used with CTME (Business Central) and control of Warehousing modules in the delivery of events and SI projects requirements.

Ensure that they and the team are across IMS, policies, and procedures

Maintain effective communication and liaison with all CTME operations stakeholders including the Head of Department, Operations Manager, Operations Asset Manager, HOD’s and Project managers.

Support the Operations Manager in producing periodic reporting ensuring that all recording documentation and registers are maintained and kept up to date.

Manage and receive all International Freight Deliveries
-
Manage all equipment shipping & Deliveries in/out. Logistics and Transportation of all goods and equipment
-
Direct management of warehouse team, in relation to all departmental storage within the remit of the supervisor operations function, inclusive of goods inwards and goods out.

Undertake the dispatch and returns of all equipment and manage local transport requests and any access requirements such as DMS
-
Ensure an effective and accurate return of equipment by scanning promptly on arrival and delivering back to each department
-
Support the Annual Stock Takes and periodic stock cycle counting and recording as well as assist with operations asset additions into EasyJob and when required, barcoding of those assets

Undertake the booking of agency staff and create associated weekly rosters for temporary and internal teams

Support the management and maintenance of company vehicles owned and leased through SOPs

Consumables – ordering PO Raising for Consumables and Operational purchases and sending out POs to suppliers and stock management in rental software and tracking consumption of consumables
Specific responsibilities:

Responsible for dispatch and shipping of equipment for projects, according to their associated manifests and transport documentation and delivery notes.

Alert HODs, Prep Techs and Project Managers of any missing items prior to dispatch
-
Receive all deliveries, shipments and associated documentation and records working with procurement to ensure operational document control
-
Supervise the storage, replenishment and retrieval of operational stock items including Rigging, Onsite Office Flight cases, Staff Welfare Flight Cases, and any other Operational assigned assets
-
Provide data for recording and feedback to finance on all matters relating to VAT and import duties
-
Support the maintenance of records of the planned preventative maintenance for vehicles and assist with branding approval and renewals
-
Contribute to the communication with all departments in relation to their operational needs and communicate daily with other CTME departments

Manage the regular checks and testing of equipment as per CTME requirements including DUTEST
-
Support in the facilitation of the annual stock takes, managing the stock take of consumable items and maintaining appropriate records

Submit all COO, Dubai Chamber portal applications
-
Manage his/ her own health and safety and that of other people who may be affected by your conduct in the workplace.

Manage the Warehouse team and temporary support staff
-
Manage freelancers and sub-contractors as required within the warehouses

Undertake any work as directed by CTME Management within your skills and experience
General responsibilities:

Develop effective relationships with internal departments through appropriate communication and a positive attitude

Ensure personal presentation, punctuality, and reliability, which reflect the corporate image of CTME.

Supervise the team to ensure the warehouse is a clean and tidy environment to work in ensuring equipment is stored in a proper manner and equipment is identifiable and easily retrievable

Identify and resolve challenging situations as they arise both internally and externally
-
Ensure compliance with all Government legislation and CTME policies and procedures
-
Ensure CTME achieves the best value for bought-in services by getting multiple quotations where possible
-
Ensure all purchases fit within the Operational budget, escalating any issues directly to your line manager
