Job Overview


The Ordering Executive is responsible for coordinating and executing the ordering process for vehicles and parts, maintaining accurate inventory records, and ensuring timely delivery. This job requires excellent organisational skills, attention to detail, and the ability to manage relationships with the OEM’s and internal teams


Key Accountabilities And Responsibilities


  • Manage the end-to-end ordering process for vehicles and parts, ensuring accurate and timely placement of orders with manufacturers and suppliers.
  • Verify order details and quantities before submission to prevent errors and delays.
  • Track and follow up on orders to ensure timely delivery and resolve any issues that may arise.
  • Maintain accurate records of all ordered vehicles and parts, updating inventory management systems accordingly.
  • Monitor stock levels to prevent overstock and stockout situations, ensuring optimal inventory levels.
  • Conduct regular inventory audits to ensure data accuracy and integrity.
  • Communicate regularly with suppliers to confirm order statuses, negotiate delivery schedules, and address any discrepancies or issues.
  • Build and maintain strong relationships with OEMs to ensure reliable and high-quality service.
  • Analyse sales data, market trends, and historical order patterns to forecast demand for vehicles and parts.
  • Collaborate with sales and service teams to understand upcoming demand and align ordering strategies accordingly.
  • Adjust ordering plans based on demand forecasts to ensure inventory availability.
  • Prepare and manage all necessary documentation related to orders, including purchase orders, invoices, and delivery receipts.
  • Generate regular reports on order statuses, inventory levels, and performance for management review.
  • Identify and report any potential issues or risks in the ordering process. 2
  • Ensure all ordering activities comply with company policies, industry standards, and regulatory requirements.
  • Inspect received goods to ensure they meet quality standards and specifications.
  • Address and resolve any quality issues with suppliers promptly.
  • Uphold company values throughout business practices and utilise sound judgment in decision


Minimum Required Experience

  • A minimum of 1-3 years working experience in a similar role.
  • Proven experience in an ordering or procurement role, preferably within the automotive industry.

Minimum Required Qualification


  • Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field
