Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Part-Time Executive Assistant / Personal Assistant to support a busy CEO. This role is a blend of professional executive support and light personal assistant responsibilities.
The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in keeping things organized, efficient, and moving forward.
Key Responsibilities:Executive & Administrative Support
- Manage and maintain CEO’s calendar, including scheduling meetings, calls, and appointments
- Coordinate and confirm meetings, including Zoom, in-person, and client-facing engagements
- Manage email communications, including drafting responses and organizing inbox
- Prepare, proofread, and edit documents, reports, and presentations
- Transcribe notes from meetings and calls into organized summaries and action items
- Track deadlines, follow-ups, and priority items to ensure nothing falls through the cracks
- Handle phone calls, messages, and professional correspondence
Operations & Office Support
- Maintain organized digital filing systems and records (Google Drive and related tools)
- Assist with basic data entry and database management
- Support light office management tasks, organization, and systems improvement
- Assist with basic financial tracking (e.g., invoices, billing coordination, expense tracking)
Personal Assistant Support
- Coordinate personal appointments, reservations, and scheduling
- Assist with errands and personal tasks as needed
- Support travel arrangements (flights, hotels, itineraries)
- Provide general day-to-day support to ensure efficiency across both business and personal commitments
- Must be comfortable around dogs (pet-friendly environment)
Qualifications:
- 3+ years of experience in an Executive Assistant and/or Personal Assistant role
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- High level of professionalism and discretion with confidential information
- Experience managing complex calendars and scheduling across multiple priorities
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Drive, Sheets)
- Strong proofreading and transcription skills
- Ability to multitask, prioritize, and manage competing deadlines
- Self-starter with a proactive, solutions-oriented mindset
- Positive attitude and ability to remain calm under pressure
Preferred (Nice to Have):
- Experience supporting an entrepreneur, founder, or small business CEO
- Familiarity with HR, consulting, or professional services environments
- Experience with basic bookkeeping or financial tracking tools
Schedule:
- Part-time (approximately 15–25 hours per week)
- Schedule may vary; flexibility required
