Patient Services Representative

We’re seeking a Patient Services Representative who brings professionalism, empathy, and strong communication skills to every patient interaction. This is a fast‑paced, patient‑facing role supporting a busy specialty practice.

This position offers a consistent Monday–Friday schedule, alternating between 7:30 AM–4:00 PM and 8:00 AM–4:30 PM shifts (8 hours). No weekends, holidays, on‑call, travel, or evening shifts.

In this role, you’ll greet patients, verify demographics and insurance, collect co‑pays, and provide exceptional front‑desk customer service. You’ll manage incoming patient calls and messages, assist with scheduling appointments and procedures, and maintain the scheduling inbox and waitlist. You’ll also scrub upcoming schedules, optimize provider templates, and proactively fill appointment gaps to ensure efficient clinic flow.

Additional responsibilities include scheduling follow‑up visits, scanning documents into patient charts, and collaborating closely with surgery schedulers, clinical staff, and providers to support seamless patient care.

Ideal candidates will have prior experience in a fast‑paced, high‑volume medical practice and demonstrated success in:

  • Managing incoming patient calls and messaging
  • Scheduling appointments and/or procedures in a private practice or specialty setting
  • Working with provider templates and patient schedules, including schedule scrubbing and appointment optimization
  • Performing front‑desk duties such as check‑in/check‑out, insurance verification, co‑pay collection, and follow‑up scheduling
  • Delivering excellent, patient‑facing customer service

Previous scheduling or registration experience is preferred. EPIC experience is a plus, but not required. If you enjoy multitasking, helping patients navigate their care, and thriving in a busy front‑office environment, this role may be a great fit.

    Responsibilities:

  • Educate patients about their financial responsibilities and connect them to advocacy resources.
  • Verify insurance benefits online or by phone.
  • Obtain patient or family signatures for treatment and financial consent, following HIPAA rules.
  • Direct phone calls to the appropriate areas or clinical providers.
  • Perform administrative tasks like scanning medical records and faxing.
  • Greet patients warmly and assist with check-in, either through self-arrival technology or at the desk.
  • Collect copayments and other patient payments.
  • Update patient registration information and schedule follow-up appointments.
  • Help patients navigate the healthcare system and provide clear instructions.
  • Take action to resolve service issues and ensure continuity of care.
  • Register patients in the Biometrics program and explain its benefits.
  • Promote and assist with MyUPMC patient portal registration.
  • Perform tasks according to system-wide competencies and behaviors.
  • Carry out other assigned duties as needed.

  • Completion of high school graduate or equivalent is required.
  • Experience with personal computer-based applications, other various office equipment and proficient typing skills are preferred.
  • Two years of experience in a medical / billing / fiscal or customer service function is preferred.
  • Knowledge of medical terminology is preferred.
  • Prior experience with Medipac, Epic, or other health records systems is preferred.
