Overview:

Reporting to the Sr. Payroll Manager, the Payroll Coordinator supports multi-state payroll operations in a fast-paced retail environment. This role is responsible for ensuring data accuracy, meeting critical deadlines, adhering to established processes, and proactively identifying and communicating risks or issues. Success in this role requires strong attention to detail, a proactive approach, and the ability to thrive in a deadline-driven environment.

Responsibilities:

  • Coordinates the day-to-day activities of the department and answers routine payroll questions
  • Maintain and update employee timecard data in UKG Workforce Management, ensuring accuracy and compliance (or similar payroll system)
  • Process employee deductions, including garnishments, child support orders, and wage levies
  • Administer garnishment lifecycle activities, including processing termination notices and correspondence
  • Manage employee transactions for Home Office and Distribution Center teams, including new hires, job changes, pay adjustments, transfers, and terminations, while maintaining the highest level of confidentiality
  • Manage Wisely pay card enrollments and related updates
  • Execute weekly pre-payroll audits to validate data accuracy and ensure timely payroll processing
  • Process missing punches and calculate retroactive hours owed to employees
  • Manage unemployment claims and provide required documentation to the unemployment vendor in a timely manner
  • Handle returned direct deposits and checks, ensuring timely resolution and reprocessing as needed
  • Support W-2 season activities, including addressing and resolving employee inquiries related to W-2 details
  • Assist with special projects, audits, and other payroll-related duties as assigned

Qualifications

  • 2–5 years of experience in a high-volume, multi-state payroll environment
  • Experience with UKG Pro and UKG Workforce Management (WFM)
  • Advanced proficiency in Microsoft Excel and overall Microsoft Office Suite
  • Strong attention to detail with a high level of accuracy and accountability
  • Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment
  • Excellent problem-solving, organizational, and time management skills
  • Strong interpersonal and communication skills, both written and verbal
  • Self-motivated, proactive, and comfortable taking ownership of responsibilities
