We are seeking a highly organized and proactive Personal Administrative Assistant to directly support the owner of the business and leadership team. This role is perfect for a detail-oriented problem solver who thrives in a fast-paced environment, takes initiative, and enjoys contributing to a dynamic team.
Key ResponsibilitiesAdministrative Support
- Manage and organize email inboxes; respond promptly to referrals and lead inquiries
- Oversee daily tasks from email, Slack, and text communications
- Manage owner’s calendar, availability & scheduling
- Print and organize weekly credit evaluations and advisor sheets
- Maintain office supplies and keep the kitchen/office space organized
- Coordinate weekly lunch plans
- Process office rent and miscellaneous bill payments
- Scan and distribute meeting notes to appropriate team members
- Upload monthly bank and credit card statements for the bookkeeper
Team Coordination
- Prepare agendas for weekly team huddles, bi-weekly one-on-ones, and quarterly reviews
- Track PTO, manage employee day-off requests
- Organize birthdays, anniversaries, and milestone gifts
- Collect and document quarterly goals and team surveys
- Plan team events (virtual happy hours, sales outings, and charity initiatives)
- Coordinate quarterly team votes and engagement initiatives
Recruitment Support
- Post job openings, manage Indeed applications.screen resumes
- Screen resumes and coordinate interviews
- Assist with hiring decisions
- Facilitate onboarding including background checks, paperwork, and training schedules
Marketing and Event Support
- Maintain inventory of marketing materials; design and order new items as needed
- Design/order new marketing items as needed
- Prepare materials for webinars and live events
- Organize and manage holiday gifts/cards for clients and partners
Errands and Miscellaneous
- Pick up mail, packages, lunches, and supplies as needed
- Ensure the office remains stocked, organized, and operating efficiently
Qualifications
- Proven experience as an executive assistant, administrative assistant, or similar role
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Proficiency in email platforms, Slack, Microsoft Office, Excel, and Powerpoint
- Quickbooks, accounting software, and ADP payroll experience a plus
- Resourceful, positive, proactive, and team-oriented mindset
