Position Purpose
The Personal Assistant to the CEO provides high-level administrative, organizational, and strategic support to ensure the CEO’s office operates smoothly and efficiently. The role requires exceptional professionalism, discretion, and attention to detail, acting as a trusted partner to the CEO in managing priorities, communications, and business commitments.
Key Responsibilities
Executive Support

Manage the CEO’s calendar, meetings, and travel arrangements.

Prepare meeting agendas, take minutes, and follow up on action items.

Handle correspondence, reports, and presentations on behalf of the CEO.

Prioritize and screen calls, visitors, and requests for the CEO’s attention.
Communication & Liaison

Act as the first point of contact for the CEO with internal teams and external stakeholders.

Draft, edit, and proofread documents, reports, and presentations.

Maintain strict confidentiality and represent the CEO’s office with professionalism.
Project & Task Coordination

Monitor key projects, deadlines, and deliverables for the CEO.

Conduct research, compile information, and prepare executive summaries.

Coordinate with departments to ensure timely submission of required reports.
Administrative Management

Organize travel itineraries, visas, accommodation, and logistics.

Maintain structured filing systems (digital and physical).

Process expense reports and manage budgets related to the CEO’s office.
Strategic Support

Anticipate the CEO’s needs and proactively provide solutions.

Ensure optimal use of the CEO’s time by prioritizing and streamlining tasks.

Support board meetings and executive sessions with accurate documentation.
Qualifications & Skills

Bachelor’s degree in Business Administration or a related field.

Minimum 5 years’ proven experience as a Personal Assistant or Executive Assistant at C-suite level.

Strong organizational, time management, and multitasking abilities.

Excellent written and verbal communication skills in English.

Proficiency in Microsoft Office Suite and collaboration tools.

High level of discretion, integrity, and professionalism.

Ability to work in a fast-paced, dynamic environment with changing priorities.
