Personal Assistant

Position Purpose

The Personal Assistant to the CEO provides high-level administrative, organizational, and strategic support to ensure the CEO’s office operates smoothly and efficiently. The role requires exceptional professionalism, discretion, and attention to detail, acting as a trusted partner to the CEO in managing priorities, communications, and business commitments.


Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, meetings, and travel arrangements.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Handle correspondence, reports, and presentations on behalf of the CEO.
  • Prioritize and screen calls, visitors, and requests for the CEO’s attention.

Communication & Liaison

  • Act as the first point of contact for the CEO with internal teams and external stakeholders.
  • Draft, edit, and proofread documents, reports, and presentations.
  • Maintain strict confidentiality and represent the CEO’s office with professionalism.

Project & Task Coordination

  • Monitor key projects, deadlines, and deliverables for the CEO.
  • Conduct research, compile information, and prepare executive summaries.
  • Coordinate with departments to ensure timely submission of required reports.

Administrative Management

  • Organize travel itineraries, visas, accommodation, and logistics.
  • Maintain structured filing systems (digital and physical).
  • Process expense reports and manage budgets related to the CEO’s office.

Strategic Support

  • Anticipate the CEO’s needs and proactively provide solutions.
  • Ensure optimal use of the CEO’s time by prioritizing and streamlining tasks.
  • Support board meetings and executive sessions with accurate documentation.

Qualifications & Skills

  • Bachelor’s degree in Business Administration or a related field.
  • Minimum 5 years’ proven experience as a Personal Assistant or Executive Assistant at C-suite level.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite and collaboration tools.
  • High level of discretion, integrity, and professionalism.
  • Ability to work in a fast-paced, dynamic environment with changing priorities.

Preferred Profile

  • Previous experience supporting CEOs or senior executives in multinational or high-growth companies.
  • Strong business acumen and ability to handle sensitive and confidential matters.
  • Proactive, detail-oriented, and solution-focused professional.
