Responsibilities
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements efficiently.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and handling correspondence with professionalism.
- Coordinate projects and events from planning stages through execution, ensuring deadlines are met and all details are handled meticulously.
- Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval.
- Handle multi-line phone systems with excellent phone etiquette, screen calls, take messages, and direct inquiries appropriately.
- Assist with client and customer service responsibilities at the front desk or reception area, creating a welcoming environment for visitors and callers.
- Support administrative functions including filing, photocopying, faxing, and managing office supplies to ensure operational efficiency.
Requirements
- Proven experience as a personal assistant or in an administrative support role with strong office management skills.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong typing skills combined with transcription and proofreading abilities for accurate document preparation.
- Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping procedures.
- Exceptional communication skills including phone etiquette and professional interpersonal interactions.
- Ability to handle multiple projects simultaneously while maintaining attention to detail.
