Job Summary
The Personal Assistant is responsible for providing high-level administrative and organizational support to senior management. The role includes managing schedules, handling correspondence, coordinating meetings, arranging travel, maintaining confidential records, and ensuring smooth day-to-day executive operations.
Key Responsibilities
- Manage executive calendars, appointments, and meeting schedules.
- Coordinate internal and external meetings, including preparing agendas and minutes.
- Handle phone calls, emails, and correspondence on behalf of management.
- Organize travel arrangements, hotel bookings, visas, and itineraries.
- Maintain confidential files, documents, and records.
- Prepare reports, presentations, and business documents.
- Screen and prioritize incoming communications and requests.
- Coordinate with departments, clients, vendors, and external stakeholders.
- Track tasks, deadlines, and follow-up actions for management.
- Assist in office administration and event coordination.
- Handle expense reports and basic administrative accounting tasks.
- Ensure professional communication and representation of the executive office.
Required Qualifications
- Bachelor’s degree or Diploma in Business Administration or related field.
- Minimum 2–5 years of experience as a Personal Assistant, Executive Assistant, or Administrative Assistant.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and professionalism.
- Strong time management and attention to detail.
Preferred Requirements
- Preferred: Previous experience working in airport operations, aviation industry, or corporate executive offices.
- Experience handling travel coordination and executive scheduling.
- Knowledge of office management systems and administrative procedures.
