Personal Assistant (PA)

Managing Director / CEO / General Manager / Senior Executive

Job Summary

The Personal Assistant is responsible for providing high-level administrative and organizational support to senior management. The role includes managing schedules, handling correspondence, coordinating meetings, arranging travel, maintaining confidential records, and ensuring smooth day-to-day executive operations.

Key Responsibilities

  • Manage executive calendars, appointments, and meeting schedules.
  • Coordinate internal and external meetings, including preparing agendas and minutes.
  • Handle phone calls, emails, and correspondence on behalf of management.
  • Organize travel arrangements, hotel bookings, visas, and itineraries.
  • Maintain confidential files, documents, and records.
  • Prepare reports, presentations, and business documents.
  • Screen and prioritize incoming communications and requests.
  • Coordinate with departments, clients, vendors, and external stakeholders.
  • Track tasks, deadlines, and follow-up actions for management.
  • Assist in office administration and event coordination.
  • Handle expense reports and basic administrative accounting tasks.
  • Ensure professional communication and representation of the executive office.

Required Qualifications

  • Bachelor’s degree or Diploma in Business Administration or related field.
  • Minimum 2–5 years of experience as a Personal Assistant, Executive Assistant, or Administrative Assistant.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and professionalism.
  • Strong time management and attention to detail.

Preferred Requirements

  • Preferred: Previous experience working in airport operations, aviation industry, or corporate executive offices.
  • Experience handling travel coordination and executive scheduling.
  • Knowledge of office management systems and administrative procedures.
