Personal Assistant to Executive Director

Full-Time | $40,000 – $55,000 DOE

Aloha Behavioral Consultants is a state-licensed integrated behavioral health organization providing primary care, psychiatry, and therapy services to individuals of all ages. We are seeking a highly organized, proactive Personal Assistant to directly support the Executive Director.

This role is designed to remove operational, administrative, and scheduling burdens from executive leadership. The right candidate is detail-driven, solution-oriented, and capable of identifying issues before they become problems.

Position Overview

The Personal Assistant works directly with the Executive Director to manage daily priorities, maintain compliance tracking systems, and ensure smooth administrative operations. This role requires discretion, initiative, and strong follow-through. This position includes both executive support and limited professional/personal scheduling assistance.

Key Responsibilities

Executive Support

  • Manage and optimize the Executive Director’s calendar and scheduling
  • Coordinate meetings, deadlines, and task tracking
  • Organize priorities and ensure delegated tasks are completed
  • Assist with professional and limited personal scheduling as appropriate
  • Protect executive time and reduce administrative burden

Operational & Compliance Support

  • Assist with biweekly payroll preparation and timesheet monitoring
  • Employee onboarding and other HR responsibilities
  • Maintain provider credentialing (CAQH management, re-attestations, renewals)
  • Conduct monthly federal exclusion checks (LEIE & SAM.gov)
  • Monitor provider license, DEA, and malpractice insurance expirations
  • Maintain HR compliance documentation and employee personnel files
  • Track vendor invoices and renewal timelines
  • Assist with annual audit preparation and documentation management

Qualifications

  • Prior administrative or executive support experience preferred
  • Strong organizational and time management skills
  • Ability to manage confidential information with discretion
  • Detail-oriented with strong follow-through
  • Comfortable working in a healthcare and regulatory environment
  • Proficient in Microsoft Office and administrative systems
  • Self-directed and capable of anticipating needs

Compensation & Benefits

  • $40,000 – $55,000 annually, depending on experience
  • Formal performance review at 90 days

Pay: $19.00 - $24.00 per hour
