Personal Assistant / Secretary

Location: Dubai, United Arab Emirates
Job Type: Full-Time
Experience: 1–3 years in Executive Assistant/Secretary/Admin roles (UAE experience preferred)

About the Role
We are seeking a highly organized Personal Assistant/Secretary to support senior management with day-to-day coordination, documentation, and stakeholder communication. The ideal candidate is discreet, detail-oriented, and able to manage multiple priorities with tight deadlines.

Key Responsibilities

  • Manage calendars: schedule meetings, appointments, and reminders; coordinate travel and logistics
  • Prepare, format, and proofread documents, letters, proposals, and meeting minutes
  • Maintain organized digital and physical filing systems; handle document control and versioning
  • Liaise with clients, partners, banks, and vendors; draft professional emails and follow-ups
  • Track tasks and deadlines; provide daily/weekly status updates to management
  • Coordinate internal meetings, prepare agendas, and compile action logs
  • Support HR/admin activities: onboarding checklists, attendance updates, basic record keeping
  • Handle confidential information with discretion and professionalism
  • Maintain office supplies, courier handling, petty cash logs, and basic expense documentation
  • Update simple trackers/CRM sheets for pipelines, inquiries, and submissions

Requirements

  • 1–3 years of experience as a PA/EA/Secretary or Administrative Coordinator
  • Excellent written and verbal communication skills in English (Arabic/Hindi/Urdu is a plus)
  • Strong proficiency in MS Office/Google Workspace (Docs, Sheets, Slides), PDF editing, and e-filing
  • Fast and accurate typing; strong attention to detail and presentation
  • Proven ability to prioritize, follow through, and meet deadlines with minimal supervision
  • Professional etiquette, confidentiality, and stakeholder management skills
  • Bachelor’s degree preferred; valid UAE driving license is an advantage

Working Hours & Benefits

  • Hours: 10:00 AM – 7:00 PM
  • Weekly Off: Sunday
  • Public Holidays: As per UAE law
  • Compensation: Fixed salary + performance incentives (to be discussed during interview)
