To provide high level confidential support to the Chief Executive by providing a full secretarial and administrative service. Ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively, provide high-level, confidential, and strategic administrative support to the CEO by managing executive communications, coordinating with HODs, monitoring KPIs and dashboards, and ensuring smooth execution of corporate, operational, and board-level activities..

Executive & Administrative Support

1. Provide complete personal and professional assistance to the CEO, including scheduling, reminders, follow-ups, and task tracking.

2. Manage CEO’s daily calendar, meetings, appointments, and priorities.

3. Handle all incoming calls, emails, and correspondence on behalf of the CEO.

4. Prepare, draft, and distribute official correspondence, emails, letters, memos, and reports.

5. Assist in drafting and reviewing legal and official documents as required.

Technology, Systems & Reporting

6. Work extensively on CRM, ERP, and internal management systems for task tracking and reporting.

7. Coordinate with Department Heads (HODs) on behalf of the CEO regarding assigned tasks, KPIs, and departmental objectives.

8. Monitor departmental performance dashboards, KPIs, and CEO-assigned objectives.

9. Prepare and update management dashboards and reports using Excel / Power BI.

10. Maintain structured records, digital filing systems, and executive data.

Meetings, Coordination & Corporate Affairs

11. Arrange and coordinate corporate meetings, management meetings, and board meetings.

12. Prepare agendas, presentations, and meeting materials.

13. Accurately prepare Minutes of Meetings (MoMs) and follow up on action points.

14. Coordinate and liaise with Board of Directors and senior management.

15. Maintain VIP guest log sheets and protocol arrangements.

16. Arrange and manage corporate events and executive-level engagements.

Travel, Front Desk & Office Coordination

17. Coordinate local and international travel, accommodation, and logistics.

18. Liaise with vendors, suppliers, and external stakeholders.

19. Monitor and coordinate household or support staff (if assigned).

20. Maintain and update the official telephone directory.

21. In the absence of SFDO, oversee and manage the Front Desk Department.

Requirements

Master’s or Bachelor’s degree in any discipline.

2. Minimum 2–3 years’ experience specifically as a Personal Secretary to CEO / Director / Top Management. 3. Overall, 3–4 years’ relevant corporate experience.

4. Prior experience working with a reputed and well-established organization will be highly preferred.

5. Proven experience working with Board of Directors and senior leadership.

Technical & Professional Skills

6. Strong command of CRM, ERP, and office management systems.

Advanced proficiency in:

I. MS Word, MS Excel, Power Point, Power BI,

7. Excellent presentation development and reporting skills.

8. Strong email drafting and professional documentation skills.

9. Ability to prepare accurate meeting minutes and executive summaries.

10. Basic knowledge of office management and bookkeeping.

Pay: Rs100,000.00 - Rs125,000.00 per month
