Job Summary:
The Philanthropy Assistant, Information Services is responsible for the review and processing of donor gifts, report generation, tracking program outcomes, and maintaining data quality control within the philanthropy database. This position supports the administrative and operational needs of the Philanthropy Department and assists with special projects and events.
The role also serves as the primary contact for the Internal Employee Lottery and provides logistical and administrative support for department initiatives. The incumbent works closely with internal stakeholders to ensure accurate data management, donor acknowledgment, and reporting functions that support fundraising and donor engagement activities.
Duties and Responsibilities:
Collects and processes donor gifts and related information and ensures appropriate donor acknowledgment letters are generated and distributed.
Reviews incoming gifts and pledges and prepares deposit documentation ensuring completeness and accuracy for multiple Care New England operating units.
Retrieves and processes web-based credit card gifts and maintains proper documentation.
Manages donor data collection to support analysis and reporting of donor information.
Maintains and updates departmental procedures manuals related to data entry processes.
Responds to requests for information related to donor gifts and prepares reports for donors and internal departments.
Produces quarterly and annual financial gift reports for the Finance Department.
Generates gift reports and donor data analysis for various departments within the organization.
Assists with departmental activities and special projects, including fundraising events, mailings, and donor engagement initiatives.
Maintains event records in the event management system, ensuring guest and biographical data remain accurate and current.
Serves as the primary contact and administrator for the monthly Internal Employee Lottery.
Organizes and maintains department filing systems and records.
Provides general administrative and logistical support for the Philanthropy Department.
Maintains confidentiality of donor, patient, and employee information at all times.
Performs additional duties as assigned to support department operations.
Requirements:
High school diploma required, Associate’s Degree preferred, with at least three years’ experience in office procedures, computer applications, and software programs.
Experience with Blackbaud Raiser's Edge database, or other fundraising database preferred.
Must have advanced data entry skills and strong working knowledge of Microsoft Office (Word, Excel).
Must have excellent interpersonal and communication skills and be fluent in the English language.
Strong proofreading skills and high attention to detail are essential.
