Physical Therapy Administrative Specialist

Join our dynamic healthcare team as a Physical Therapy Administrative Specialist, where your organizational skills and medical administrative expertise will play a vital role in delivering exceptional patient care. Responsibilities :

1. Data Entry

· Enter new patients into our system accurately and promptly.

· Create and update billing cases, ensuring all required information is complete.

· Maintain organized and error-free records.

Review and process medical documentation for completeness, accuracy, and compliance with HIPAA regulations to protect patient privacy and data security

2. Accounts Receivable Support

· Assist with reviewing and following up on outstanding balances.

· Work with the billing team to reconcile payments, denials, and adjustments.

· Communicate as needed to help resolve A/R issues.

3. Medical Record Requests

· Process medical record requests from attorneys, insurance companies, and other authorized parties.

· Ensure proper documentation and compliance with privacy regulations.

· Track requests and send records in a timely, secure manner.

4. Treatment Authorization Assistance

· Help gather documentation and information required for treatment authorizations when needed.

· Coordinate with clinicians, billing staff, or insurers when support is needed.

· Monitor the status of authorizations and communicate updates to the team.

5. Front Desk Cross-Training

· Learn core front desk duties so you can help with coverage when needed.

· Assist with patient check-in/check-out, phones, scheduling, and general office tasks.

Experience

  • Prior clinic experience in a healthcare administrative role within a physical therapy or outpatient setting is highly preferred
  • Strong knowledge of medical coding including CPT codes and ICD coding (ICD-9/10), along with familiarity with Medicare policies and care plan documentation
  • Strong organizational skills with attention to detail in filing, documentation review, and office operations management

Pay: $18.00 - $22.00 per hour
