Key Responsibilities

  • Process and renew trade licenses, establishment cards, and chamber of commerce registrations before expiry
  • Manage the full employee visa lifecycle: entry permits, status change, medical fitness tests, Emirates ID applications, labor cards, visa stamping, and cancellations
  • Liaise with DED, MOHRE, GDRFA, Dubai Municipality, Dubai Civil Defence, and other relevant authorities on the company's behalf
  • Submit and track applications through government smart-service platforms (e.g., DED Trader, Tas'heel, Basher, Amer centers)
  • Coordinate Ejari registration, tenancy contract attestation, and landlord-related NOCs
  • Maintain and renew mandatory permits and certificates (food safety/trade permits for F&B operations, fire and safety NOCs, signage permits, insurance certificates, etc.)
  • Track expiry dates for all licenses, visas, and permits, and proactively initiate renewals to avoid penalties or business disruption
  • Handle fines, violations, and penalty disputes with government departments
  • Coordinate document attestation with embassies, consulates, and the Ministry of Foreign Affairs as required
  • Support HR with documentation for onboarding and offboarding employees, including labor contracts and WPS registration
  • Arrange and renew mandatory company insurances (e.g., employee health insurance, workmen's compensation, third-party liability) in coordination with finance/HR
  • Maintain organized physical and digital records of all company and employee legal documents
  • Build and maintain professional working relationships with government officers to facilitate smooth, fast processing
  • Stay current on changes to UAE labor law, immigration regulations, and licensing requirements, and advise management accordingly

Requirements

  • Minimum 2–3 years of experience working as a PRO in the UAE
  • Strong working knowledge of UAE labor law, immigration procedures, and trade license regulations
  • Familiarity with DED, MOHRE, GDRFA
  • Valid UAE driving license; own vehicle preferred
  • Fluency in Arabic and English (Arabic strongly preferred for dealing with government departments)
  • Strong organizational skills with the ability to manage multiple deadlines and document trackers
  • High attention to detail and discretion when handling confidential documents
  • Excellent interpersonal and negotiation skills
