The Procurement Administrator is responsible to support the engineering and maintenance operations of the private estate by handling procurement-related administrative tasks, including purchase requisitions, supplier coordination, documentation, and delivery tracking. The Procurement Administrator ensures that materials, spare parts, and services are sourced efficiently, cost-effectively, and in compliance with company procedures and UAE regulations.
JOB LOCATION: FUJAIRAH, UAE
QUALIFICATIONS:
- Diploma or Bachelor's Degree in Business Administration, Procurement, Supply Chain Management, or related field.
- Certification in Procurement and Supply Chain (e.g., CIPS Level 2–3 or equivalent) is an advantage.
- Knowledge of UAE procurement regulations and vendor registration procedures is beneficial.
EXPERIENCE:
- 2–4 years of experience in an administrative or procurement support role, preferably in engineering, facilities management, construction, or hospitality sectors.
- Experience working with local UAE vendors, preparing LPOs, tracking deliveries, and managing vendor communications.
- Familiarity with estate operations, maintenance materials, and technical services procurement is a plus.
KEY SKILLS/KNOWLEDGE:
Procurement Administration
- Creating and managing purchase requisitions, LPOs, and vendor quotations.
- Supporting the procurement team in sourcing materials and coordinating delivery timelines.
- Updating procurement logs and trackers to ensure visibility of order status.
Vendor Coordination
- Liaising with approved suppliers, contractors, and service providers.
- Following up on order confirmations, deliveries, and payment documentation.
- Maintaining accurate records of supplier contacts, product catalogs, and price lists.
Document Control & Reporting
- Organizing procurement documentation, including delivery notes, invoices, and warranty certificates.
- Assisting in compiling monthly procurement reports and cost summaries.
- Maintaining compliance with internal controls and procurement procedures.
System & Software Proficiency
- Proficient in MS Office Suite (especially Excel, Word, and Outlook).
- Familiarity with ERP systems or procurement software is preferred.
- Ability to maintain digital filing systems and procurement dashboards.
Communication & Organization
- Strong verbal and written communication skills for supplier interaction.
- High level of organization, attention to detail, and ability to manage multiple tasks.
- Ability to work independently and within a multi-disciplinary team
