1. Job Summary
The Procurement Administrator supports the daily procurement activities of the organization by managing vendor communication, preparing purchase documents, tracking orders, and ensuring timely delivery of materials and services. She will maintain accurate procurement records, assist with supplier evaluations, and ensure compliance with the company’s purchasing policies and procedures.
2. Key ResponsibilitiesA. Procurement Operations
- Prepare Purchase Requests (PR), Purchase Orders (PO), and Request for Quotations (RFQ).
- Coordinate with suppliers for pricing, delivery timelines, and order confirmations.
- Monitor open POs and follow up on pending or delayed deliveries.
- Assist in sourcing new suppliers when required.
B. Documentation & Compliance
- Maintain organized procurement files, contracts, quotations, and invoices.
- Ensure all purchases comply with company policies and approval workflows.
- Verify accuracy of supplier invoices before forwarding to finance.
- Update procurement tracking sheets and maintain proper documentation for audits.
C. Vendor Coordination
- Communicate professionally with existing and new suppliers.
- Obtain product samples, updated price lists, and catalogs.
- Support annual vendor performance evaluations.
D. Inventory & Logistics Coordination
- Coordinate with warehouse and logistics teams for incoming shipments.
- Ensure GRN (Goods Received Notes) are properly recorded.
- Track inventory items requiring replenishment and notify the procurement team.
E. Administrative Support
- Prepare procurement reports and summaries for management.
- Maintain procurement databases and digital records.
- Support senior procurement staff with special projects and tenders.
3. Qualifications & Experience
- Bachelor’s degree in Business Administration, Supply Chain, or related field.
- 1–3 years of experience in procurement or administrative roles.
- Strong knowledge of procurement processes and documentation.
- Proficiency in MS Office (D365, Excel, Word, Outlook).
- Experience with ERP or procurement systems is an advantage.
- Female candidates preferred (if required for cultural or business reasons).
