Procurement Assistant

Position Overview :


The Procurement Assistant at NOX Holiday Homes LLC plays a key role in supporting the procurement department by sourcing and purchasing supplies, equipment, and services required for the daily operations of the business. This role involves working closely with suppliers, negotiating prices, managing purchase orders, and ensuring the timely delivery of goods. The Procurement Assistant will also maintain accurate records and help optimize procurement processes to ensure cost-effectiveness and efficiency.


Key Responsibilities :


  • Assist in the procurement process, including sourcing suppliers, obtaining quotations, and negotiating contracts.
  • Maintain and update records of purchases, pricing, and other important data, data import to the company financial system and reports.
  • Prepare and process purchase orders and invoices in accordance with company policies.
  • Coordinate with suppliers to ensure timely delivery of goods and services.
  • Monitor inventory levels and place orders as needed to maintain adequate stock levels.
  • Assist in resolving any issues or discrepancies related to orders, deliveries, or invoices.
  • Support the Procurement Manager in evaluating supplier performance and managing supplier relationships.
  • Collaborate with other departments to understand their procurement needs and ensure all requirements are met.
  • Stay updated on market trends and changes in the supply chain.
  • Preparation of daily maintenance reports, record keeping of maintenance material with collaboration of maintenance team.
  • Record keeping of the stockroom, record keeping of utilization of folding beds, highchairs, baby cribs, charges status.
  • Preparation of monthly expenses report for accounts team and to share PDF invoices with admin team for landlords.


Qualifications :

  • Bachelor's degree in business administration, Supply Chain Management, or a related field.
  • Previous experience in procurement, purchasing, or a similar role is preferred.
  • Strong organizational and time management skills.
  • Excellent communication and negotiation skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of procurement software and tools is a plus.
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy.
