The Procurement Coordinator assists in performing day-to-day procurement activities, ensuring timely and cost-effective delivery of materials, services, and contracts. This role includes coordinating purchase orders, maintaining supplier records, and supporting the procurement team in compliance with policies and contract terms. The Procurement coordinator monitors supplier performance, resolve issues, and contribute to procurement reporting for senior management.


Key Responsibilities:

  • Maintain and update a reliable database of FF&E and OS&E suppliers, managing vendor registration and onboarding processes.
  • Assist in preparing Bills of Quantities (BOQ), Requests for Proposals (RFP), and tender packages aligned with project specifications.
  • Liaise with suppliers post-tender to ensure timely submission of offers and prepare comprehensive cost comparison reports for evaluation.
  • Generate purchase orders (POs) and track approval workflows in collaboration with management.
  • Monitor payment processes including invoice verification, payment documentation, and communication with suppliers to confirm receipt.
  • Track project budgets, monitor expenses, and support financial close-outs to ensure accuracy and transparency.
  • Maintain meticulous procurement records and project documentation for reporting and audit purposes.
  • Prepare Request for Clarification (RFC) reports to resolve specification ambiguities in coordination with the Procurement Director.
  • Support cross-functional teams including Interior Design, Project Management, and Operations for seamless procurement integration.


Qualifications:

  • Bachelor’s Degree or Diploma from an Intermediate Institute
  • 1-2 years of experience in procurement (preferably in FF&E, OS&E, or related fields)
