Procurement Officer

Job Purpose

Responsible for sourcing, purchasing, and expediting firefighting, fire alarm, and MEP materials in compliance with approved specifications, Civil Defense requirements, project schedules, and company cost targets.

Key Responsibilities

1. Procurement & Purchasing

• Source and procure firefighting and fire alarm materials (sprinklers, valves, pumps, detectors, panels, cables, pipes, fittings, foam systems, etc.)
• Prepare and issue RFQs, RFPs, and Purchase Orders (POs)
• Ensure materials comply with QCDD / NFPA / EN / UL / FM approvals
• Coordinate with engineering and projects teams for approved submittals

2. Vendor & Supplier Management

• Identify, evaluate, and maintain approved suppliers and manufacturers
• Negotiate prices, payment terms, and delivery schedules
• Ensure procurement from authorized dealers (Notifier, Siemens, Edwards, Autronica, etc.)
• Monitor supplier performance and resolve delivery or quality issues

3. Logistics & Delivery Follow-Up

• Follow up on deliveries to ensure materials arrive on time
• Coordinate with stores and site teams for material receipt
• Handle import documentation when required (COO, invoices, packing lists)

4. Documentation & Compliance

• Maintain procurement records (POs, delivery notes, invoices)
• Support material approvals and Civil Defense inspections
• Ensure traceability of UL/FM certificates and test reports

6. Coordination & Reporting

• Coordinate with:
• Project Managers
• Engineers
• Storekeepers
• Finance department
• Prepare procurement status reports and material tracking logs

Qualifications & Experience

• Diploma or Bachelor’s degree in Engineering, Supply Chain, or Business
• 3–7 years experience in procurement for firefighting / MEP companies
• Strong knowledge of:
• Firefighting systems
• Fire alarm systems
• QCDD & NFPA standards

Skills & Competencies

• Excellent negotiation and communication skills
• Strong knowledge of firefighting materials & brands
• Proficient in Excel, ERP systems (Odoo)
• Ability to work under pressure and meet deadlines
• Attention to detail and compliance-focused mindset
